We are looking for an Estates Manager for a school in Oxford.
Job Purpose:
Support the Operations Manager by taking responsibility for the management of the school site, security and health and safety. Manage site staff including allocation and monitoring of work and performance appraisal.
Key Responsibilities:
1. Oversight of the school vehicles – Maintenance, MOT, training, drivers etc.
2. Manage specialist premises functions to support the Lettings Manager.
3. Ensure effective risk management, for example, in health and safety and the management of any third-party service contracts with the use of relevant software.
4. Responsibility for the day-to-day management of Health and Safety within the school.
5. Allocation and monitoring of work to the team.
6. Operate as part of a management team, involved in planning and budget responsibilities.
7. Manage maintenance, security and facilities systems on school sites and premises.
8. Contribute to the planning, developing and monitoring of premises services and improvement. Supervision, training and appraisal of caretaking/cleaning staff and contractors.
9. Arrange for regular security and site safeguarding checks to be undertaken and advise on how security risks can be minimised.
10. Manage fire safety equipment provision, ensuring weekly checks are undertaken.
11. Manage provision of alarm systems, CCTV or surveillance equipment where appropriate.
12. Liaise with police, security and surveillance contractors.
13. Oversee the activities of external contractors on site ensuring they are fully compliant, including RAMS, safeguarding and other checks.
14. Plan for effective response to emergency call-outs and key holders.
15. Purchase, repair and maintenance of all furniture, equipment and fittings.
Maintenance:
1. Manage routine maintenance, repair schedules and specialist repairs.
2. Supervise maintenance contractors and undertake regular site inspections.
3. Identify defects and record repair and maintenance requirements.
4. Provide emergency access to the school site.
5. Plan for specialist cleaning tasks.
6. Monitor the performance of service contractors and record performance against specified standards.
7. Undertake budget monitoring and prepare cost plans for repairs/maintenance and building activities as required.
8. Support the Operations Manager in planning, development and organisation of systems / procedures / policies.
9. Manage records, information and data, producing analysis and reports.
10. Responsibility for the creation and maintenance of a purposeful, orderly and productive working environment.
11. Promote and ensure the health and safety of students, staff and visitors always.
12. Responsibility for ensuring the maintenance/quality/safety of specialist equipment.
13. Demonstrate and assist in the safe and effective use of specialist equipment/materials.
14. Provide highly specialist advice and guidance as required.
15. Responsibility for the selection and management of resources, including management of a departmental budget and regular audit of resources.
16. Manage Health & Safety risk assessments and dissemination and compliance with health and safety policies and procedures.
