Deputise for certain team members during annual leave or other absences\n\nDuties and Responsibilities:\nFinancial and administrative processes:\n\uD83D\uDD39Collating catering, taxi, consumables invoices and allocating them for onward processing approval.\n\uD83D\uDD39Processing of invoices on Elite system, ensuring they tie back to a relevant PO Number\n\uD83D\uDD39Liaising with both suppliers and Finance team so that invoices are paid correctly and on time\n\uD83D\uDD39Working with the Facilities Manager to maintain and plan budget templates for monthly completion \n\uD83D\uDD39Working with the Facilities Co-ordinator to complete and maintain the Team Helpdesk spreadsheet\n\uD83D\uDD39General email creation and communication to and from staff answering general queries\n\nProcurement of Goods and Services:\n\uD83D\uDD39Sourcing of general supplies and consumables, obtaining quotes. (Cleaning products / food and beverage) \n\uD83D\uDD39Raising Purchase Orders and liaising with Procurement Team for new suppliers\n\nGeneral Office Facilities\n\uD83D\uDD39Assist with covering Reception to meet/greet clients and visitors, arrange taxis, book meeting rooms and liaise with Hospitality Team regarding refreshments\n\uD83D\uDD39Assist, as part of a team, with general office moves and changes\n\uD83D\uDD39Obtain general facilities and maintenance knowledge to identify issues and work with the Assistant FM to identify and report repairs such as replacing light bulbs, HVAC issues, minor plumbing repairs, relocating and re-fusing desk sockets, etc.\n\uD83D\uDD39Reporting and liaising with the maintenance provider\n\uD83D\uDD39Assist AV requests, including large event and seminar setups and internal & external videoconferencing setups via Teams for Business\n\uD83D\uDD39Assist in recording and documenting monthly emergency lighting tests, legionella and fire safety checks\n\uD83D\uDD39Opportunity to become a Fire Marshal and/or First Aider\n\uD83D\uDD39Assisting generally around the office\n \uD83D\uDD38This exciting role will give you an opportunity to get an all-round experience by working with a variety of teams\n\n\uD83D\uDD38You will have a chance to cover for team colleagues during absences and provide Facilities, Reception and Catering cover due to holidays/illness shared amongst other members of the team\n\n\uD83D\uDD38You will be working towards a Level 6 SVQ in Business and Administration and will be supported throughout\n\n \uD83D\uDD39Willing and eager to learn with an interest in a career in Administration and Facilities\n\uD83D\uDD39Reliability with a business-like attitude to the work involved\n\uD83D\uDD39An aptitude for learning in a changing environment\n\uD83D\uDD39You should have strong organisation and administration skills\n\uD83D\uDD39You should be confident in verbal and written communication with good attention to detail\n\uD83D\uDD39Team player with the ability to work flexibly\n\uD83D\uDD39Previous customer service experience is preferrable\n\uD83D\uDD39NAT 5 qualifications and above are preferrable especially in English, Mathematics/ numeracy and Administration subjects.\n
