We’re AW Wellness Studios, a women-only gym in Tottenham dedicated to strength, movement, and mental wellbeing. We’re looking for a brilliant, organised, and proactive operations assistant to support our day-to-day and help us grow.
This hybrid role is perfect for someone who thrives on structure, loves creating systems, and wants to be part of a meaningful mission in women’s wellness. You’ll work mostly remotely but will need to be based in London, ideally North London and available to come into the studio a few times a month — sometimes at short notice. As we prepare to expand into a larger space (with a dedicated office for this role), we’re looking for someone committed to growing with us for the long term.
Key Responsibilities
* Managing our shared inbox, responding to client emails and team messages daily
* Handling studio payroll
* Using ClickUp to track, manage and update daily tasks
* Supporting the team with scheduling and diary management across platforms
* Managing studio logistics (e.g. keys, uniforms, stock)
* Uploading and updating content on our drag-and-drop website (e.g. coach bios, class info)
* Maintaining client records and membership data and booking/cancelling client sessions via PushPress and other tools
* Coordinating onboarding for new coaches
* Creating or updating documents, policies and guides as needed
* Tracking performance metrics: retention, class data, etc.
* Responding to WhatsApp messages (internal) and making occasional calls (client/team)
* Marketing: confident with copy writing, writing emails on mailchimp f.e advertising a new course, weekly newsletters, and writing class/course descriptions
* Populating and managing Google Sheets and Docs
* Basic use of Canva, often repurposing templates we already have
The Right Person Will:
* Have experience managing complex admin tasks in a gym or yoga studio (ideal)
* Be fluent in English, with excellent grammar and a fast typing speed
* Feel confident using Google Workspace (Gmail, Docs, Drive, Calendar, Sheets)
* Be comfortable working independently and checking in daily via ClickUp
* Be highly organised and capable of juggling multiple moving parts
* Be tech-comfortable and excited about automations, streamlining, and improving systems and processes
* Be confident communicating clearly and compassionately in writing
* Have basic number confidence to help with pricing and tracking
* Take initiative when something gets missed, or needs improving
* Be forward-thinking and invested in growing with the studio long term
* Be available to support new coach interviews and studio demands when needed; for example, organising stock, cutting keys, delivering H&S to new team members, printing and laminating posters and setting up the space for external workshop facilitators, attending community events/markets etc
Bonus if you have experience with:
* ClickUp, PushPress, Legitfit, Trainerize, Mailchimp, Canva, Calendly, ChatGPT, Clockify, Confluence, Zoom
* Designing or updating workflows and SOPs
* Editing a drag-and-drop website
* Supporting launches or marketing campaigns
Working Hours & Pay
* 18 hours/week
* Flexible extra hours during launches, hiring periods, holidays
* £17/hour (freelance/self-employed) paid monthly via bank transfer
* Core hours: Monday to Friday + Brief weekend inbox check-ins (Saturday and Sunday, morning and evening) — reply only if urgent
* Task flexibility: Outside of inbox or time-sensitive tasks, most work (e.g. marketing emails or course setup) can be done flexibly. Tasks are assigned in ClickUp with due dates so you can manage your time independently
* Invoicing: You'll need to submit a monthly invoice and a report from Clockify (time-tracking app)
* Must be London-based, ideally North London
* Hybrid: mostly remote with occasional studio visits (around 2x/month, sometimes on short notice)
Start Date & Onboarding
The role will begin with a self-led onboarding period focused on our new CRM system (PushPress), starting ideally the week commencing 20th April (depending on interview timing). You'll have access to training videos during this time to get familiar with key systems and responsibilities. Full onboarding with our current operations assistant, will take place via Zoom from 1st May to 15th May, before her departure. Onboarding and training will be mostly remote, and you will also be invited to visit the studio to meet the team in person.
