We are looking for an amazing Personal Assistant (PA) to join our people team, where you'll have the exciting opportunity to support two Vice Presidents, VP Organisational Performance and VP Total Reward. You will also contribute to the wider team on people project initiatives. You'll provide an invaluable contribution by offering comprehensive support and be pivotal in ensuring the smooth and efficient functioning of the two VPs. You will work closely alongside the EA to the Chief People Officer and also be a member of the wider EA / PA Community sharing best practice, holiday coverage and connectivity.
Day to day
* Diary management: you will ensure diaries are consistently up to date, meetings are efficiently scheduled, with rooms booked, and sufficient preparation time. Acting as a 'gatekeeper', making sure you prioritise meetings in the diary, and they have a clear objective.
* Full inbox management for both VPs, ensuring emails are handled appropriately.
* Organise team meetings / events for the teams you support, ensuring they are well prepared, run efficiently as well as fun and engaging.
* Co-ordinate travel management. Being thoughtful in how plans are put together to ensure time is optimised.
* Prepare agendas/documentation/presentations/actions, ensure the VP has any relevant information, and pre-read for meetings, including ensuring it's collated and ready well ahead of time.
* Proactively follow up on any meeting actions and ensure these are completed.
* General admin, including recording expenses for the VPs, processing purchase orders and invoices and tracking budget spend.
* Co-ordinate the various memberships that the People team have, ensuring we make best financial use of them, and raise awareness of membership benefits available.
* Active involvement in some exciting projects within the People Team.
About you
To ensure you're set up for success in this role, here are the key things you'll need:
* Excellent accuracy and attention to detail within a previous PA/Administration role with proven experience in proactively and efficiently managing high workloads with minimal supervision.
* Experience in a role that involves excellent levels of planning and organisation skills, with the ability to juggle multiple conflicting priorities effectively and working in an agile fashion.
* Experience in a role requiring initiative and the ability to anticipate and resolve issues or problems whilst maintaining confidentiality and discretion in handling highly confidential information.
* Expertise in using MS Office tools, such as Outlook, Word, Excel, PowerPoint and Office 365 tools, such as One Note, MS Forms etc and including the ability to produce polished, clear and well-thought-out documentation.
* Excellent communication and interpersonal skills, with the ability to interact effectively and professionally with individuals at all levels within an organisation, both verbally and in writing.
* Adaptability, flexibility, and a strong team player.
* Desire to learn and embrace new emerging technologies.
