Executive Assistant
Location: Telford
Type: Temporary - minimum of 2 weeks but likely to be longer
Pay rate: Negotiable DOE
Hours: Monday-Friday 9am-5pm
Our Telford based client is looking for an Executive Assistant to start immediately and provide temporary comprehensive administration support to the organisation's senior management team. It is a busy and varied role, requiring someone who is confident to take decisions and can use their own initiative as well as follow instructions closely. The company is based in a nice location, and this should be a rewarding and interesting role. It is anticipated that the Executive Assistant will be required for a minimum of 2 weeks, but there is a likelihood that it could be longer.
Responsibilities and Duties:
1. Support and assist the Chief Executive by carrying out secretarial and administrative duties including typing, proofreading, filing, preparing and editing correspondence, and creating PowerPoint presentations.
2. Arrange meetings, set up meeting rooms, coordinate catering, and take minutes at meetings.
3. Act as the first point of contact for the Chief Executive regarding enquiries and messages.
4. Manage the diary of the Chief Executive, arranging appointments and reminding of important tasks and deadlines.
5. Support the Chief Executive and Chairman with email inbox and correspondence management.
6. Organise corporate lunches; liaise with the appropriate team for menus, table plans, place cards, and collate food orders with dietary requirements.
7. Arrange hospitality and visit itineraries for guests, as directed by the Chief Executive.
8. Type, compile, and prepare reports/presentations and correspondence.
9. Manage filing systems, collate and file expenses and invoices.
10. Support the Senior Management Team in various administrative tasks as required.
Skills and Experience:
1. The ideal candidate will have worked in a similar Executive Assistant, PA, Senior Administrator, or Senior Secretary position previously.
2. Experience of providing support to senior managers, excellent organisational, interpersonal, and communication skills with the ability to develop and maintain productive working relationships with colleagues and external contacts.
3. A flexible approach to work and the ability to manage a variety of tasks simultaneously to tight deadlines.
4. Competent IT skills including producing PowerPoint presentations.
5. Must have a full driving licence and access to own vehicle due to the company location and occasional need to visit other sites.
6. Must be available to start immediately.
