An exciting opportunity has arisen for an enthusiastic individual to be part of Facilities Team that is responsible for the monitoring of the Soft Services Contractor. The primary role includes the auditing and monitoring of the services that consist of catering, cleaning, portering, linen, security, and waste services within the South Warwickshire NHS Foundation Trust.
You will need to be proactive and reactive in auditing and monitoring of wards and departments across the Trust. Being in the heart of the clinical settings is key for the role.
You will need to be dynamic, forward-thinking, and able to prioritize your workload.
Good communication skills across a wide range of staffing groups are essential.
Your role will primarily cover the working day but may occasionally require support monitoring during some evenings and weekends, upon request.
Based at Warwick, having a driving license and access to a car is essential.
The role also includes an element of administrative support within the office environment to support the daily needs of the team.
The position is for a 12-month fixed term period, maternity cover, and covers Trust wide, including Warwick, Leamington, and Stratford Hospitals.
Main Duties of the Job
To be part of a team responsible for the monitoring of the Soft Services Contractor that provides cleaning, portering, security, catering, and linen services within the South Warwickshire NHS Foundation Trust. Ensure compliance with the agreed contract and associated administrative tasks for the Facilities Department.
Job Responsibilities
Communication
* Provide and receive routine information requiring tact and persuasive skills, overcoming barriers to understanding, e.g., liaising with a diverse range of colleagues Trust wide.
* Maintain good communication links with contractors.
* Establish and maintain professional relationships with:
o External contractors
o Infection Control Department
o Heads of Nursing and Matrons
o Ward Managers
o Senior Trust staff
* Liaise with other departments and services to disseminate information efficiently.
* Regularly communicate and report baseline responsibility to your direct line manager.
* Develop and maintain effective links with Heads of Nursing/Matrons and clinical staff across all units Trust wide.
* Provide appropriate written information to the Hotel Services Senior Managers and participate in any review of service specifications.
* Report any breach in standards promptly to your line manager.
* Liaise with Contract Managers to advise, resolve, and rectify any shortfalls as necessary.
Domestic Services
* Monitor Ward and departmental areas according to an agreed schedule and document as appropriate.
* Produce action plans for contractors addressing any shortfalls in cleaning standards with appropriate targets highlighted.
* Raise maintenance/nursing/equipment issues with the relevant department.
* Conduct spot checks to ensure cleanliness issues are rectified within the agreed timeframe.
* Update results spreadsheet weekly for the Assistant General Manager - Hotel Services.
* Conduct quarterly stock takes of staff uniforms.
* Monitor the Contracted Linen Supplier for compliance with specifications.
* Audit specific tasks within portering functions, such as waste trails and soiled linen processes, in conjunction with the Hotel Service Managers.
Catering
* Participate in the auditing of the Patient Food delivery service from main/ward kitchen to patients, including temperature/taste testing.
General Duties
* Produce and type all audit results in a timely manner.
* Participate in the Patient Led Assessments for the Care Environment (PLACE) annual programme.
* Assist with processing invoices for all sections under the Hotel Services Department.
Person Specification
Qualifications
* Good standard of education.
* Communications and customer relations skills.
* Professional qualification - Level 3 in Customer Service or equivalent experience.
* Working knowledge of Word and Excel.
Experience
* Experience of monitoring/auditing standards and procedures.
* Experience preferably within the NHS.
Skills
* Good organizational skills.
* Ability to plan workload and work under pressure.
* Good working knowledge of confidentiality.
* Able to deal with, liaise, and communicate with all levels of staff.
* Knowledge of departmental/staffing structures within the NHS.
