When departments have planned and unplanned gaps in rosters and can’t be filled by substantive staff, bank workers work flexibly to cover ad hoc shifts across the organisation. Acting as the Trust's frontline defence before shifts are escalated to agencies, the temporary staffing team provides an essential service in managing bookings, recruiting both internal & external workers, ensuring training compliance is maintained, and providing support to managers & bank workers. Where the bank can’t fill, they will escalate to the agency, ensuring that suppliers fill urgent ad hoc shifts following the Trust's agency booking procedure.
An exciting opportunity has arisen for a Part Time Administrator in the Temporary Staffing Team. Applications are invited from motivated staff that share our passion & understand the benefits of using workforce management systems and payroll and want to be an integral part of our team.
You will be required to work 15 hours per week over 2 days to be discussed.
The successful candidate will act as the first point of contact for staff & Managers and will be responsible for engaging with new and existing employees to ensure they are fully supported at all times and made aware of the Temporary staffing, eRostering & workforce processes including essential training, performance development reviews, and providing appropriate access to all required systems and information. You will also provide training and support to trust staff, managers, bank workers, and colleagues on the Bank Staff and Employee Online booking systems, as well as bank and agency processes. You will be required to ensure that staff registered with the temporary staffing service understand their responsibilities and work to the standards of conduct expected, escalating issues of concern to the eRostering & Temporary Staffing Manager. Additionally, you will support all recruitment processes for sourcing additional temporary staffing and all administrative tasks utilising all workforce systems as appropriate, including NHS Jobs, ESR, eRostering systems, and bank staff, to agreed processes and timescales.
DUTIES AND RESPONSIBILITIES
1. Responsible for liaising with managers providing high calibre, consistent advice and support, underpinned by sound knowledge, ensuring an efficient and effective workforce planning and resourcing service.
2. Responsible for complying with the Trust’s policies, workforce processes, and national standards and guidelines including Agenda for Change and NHS Employment Check standards, and escalating any issues or concerns immediately.
3. Responsible for liaising with managers to ensure all agreed relevant workforce & Temporary Staffing processes and templates are followed.
4. Supporting the recruitment function of bank workers and data input into ESR for new starters and substantive bank workers.
5. Advise managers of the Temporary Staffing booking processes.
6. Administer the booking systems for temporary staff including Agency.
7. Responsible for utilising all workforce systems as appropriate including NHS Jobs, ESR, eRostering systems including Bankstaff and to agreed processes and timescales.
8. Input data for shift requirements, bank staff details & availability.
9. Responsible for recording all activities accurately, consistently, and timely to enable effective monitoring of the service.
10. Responsible for engaging with new and existing employees to ensure they are fully supported at all times and made aware of the Temporary staffing & workforce processes including essential training, performance development reviews, and providing appropriate access to all required systems and information.
11. Responsible for issuing contractual documentation as required using standard templates.
12. Responsible for ensuring that all data is recorded on the workforce systems accurately, consistently, and timely.
13. Responsible for identifying any data discrepancies and taking corrective action, liaising with all those impacted as appropriate.
14. Responsible for carrying out regular reviews of inactive Bank posts ensuring the workforce systems are set up and maintained.
15. Willing to identify improvements for Temporary staffing processes.
16. Match staff to shift requirements & make bookings in full liaison with all parties.
17. Ensure that staff registered with the temporary staffing service understand their responsibilities and work to the standards of conduct expected, and escalating issues of concern to the eRostering & Temporary Staffing Manager.
18. Provide training and support to trust staff, managers, bank workers, and colleagues on the BankStaff and Employee Online booking systems, and bank and agency processes.
19. Ensure all bookings/shifts are logged on the BankStaff system in a timely manner and in accordance with best practice.
20. Ensure that all checks are completed for proposed agency workers and are escalated to the appropriate individuals in line with policy and procedure.
