The Manor Practice has an opportunity for a part-time position within our busy reception team. Experience of general practice is desirable but not essential as training will be given. We are looking for 16.5 hours per week, Monday to Friday working shifts consisting of 08:00-13:00 or 13:30-18:30.
Main duties of the job
1. Maintaining and monitoring the practice appointment system.
2. Process personal, telephone and e-requests for appointments.
3. Answer incoming phone calls, transferring calls or dealing with the callers' requests appropriately.
4. Signpost patients to the correct service.
5. Initiating contact with and responding to requests from patients, team members, and external agencies.
6. Read code data on EMIS.
7. Photocopy documentation as required.
8. Data entry of new and temporary registrations and relevant patient information as required.
9. Input data into the patients' healthcare records as necessary.
10. Direct requests for information i.e. SAR, insurance/solicitors letters, and DVLA forms to the administrative team.
11. Manage all queries as necessary in an efficient manner.
12. Carry out system searches as requested.
13. Maintain a clean, tidy, effective working area at all times.
14. Monitor and maintain the reception area and notice boards.
15. Support all clinical staff with general tasks as requested.
About us
The Manor Practice is a GP practice in Sutton Coldfield based at two different sites. We have 5 GP Partners and maintain a list size of approximately 17,500 patients. We have a dedicated nursing team, comprising Nurse Prescribers, ANPs, HCAs, and Phlebotomists.
The practice is part of the Alliance of Sutton Practices PCN, with two neighbouring surgeries. As part of the PCN, we have access to Pharmacists (prescribing and non-prescribing), pharmacy technicians, care co-ordinators, social prescribers, paramedics, and First Contact Physiotherapists.
The practice has a continuous improvement culture. It supports staff to develop and learn new skills as desired and encourages ideas and innovative thinking to improve the experience of the patients and staff alike.

Job responsibilities
To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing of information, and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages, and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.
