The Event Co-Ordinator will report directly to the Senior Event Manager.
As Event Co-Ordinator, you will support the wider Craft Event Co. team with the completion of event information and manage the Craft Event Co. mailbox and Bright Venue system, working closely with our financial department regarding invoicing.
Reporting to the Operations Director on booking trends on a monthly basis and assisting in the creation of reports for clients and senior management.
Responsibilities include:
* Manage the inbox regarding bookings and queries, answering calls that come into Craft Event Co, ensuring all correspondence is answered as soon as possible.
* Prepare initial event sheets for all bookings, ensuring bookings are managed through the Bright Venue system.
* Assist customers with planning their events with attention to customer requirements.
* Produce quotes for all bookings with the assistance of the Craft and Events team.
* Update the wider team on a weekly basis of upcoming bookings.
* Ensure handover of bookings to event managers in a timely manner with as much information and details as possible.
* Assist the Events Managers at wedding fairs and tasting sessions, recording details of prospective bookings and/or menu choices.
* Take occasional credit card payments via telephone.
* Update on payments ensuring customer quotes, invoices, and payment plans are maintained.
* Provide data on booking status and value to the Operations Director on a monthly basis.
* Update the Bright Venue system with new menu/pricing information when required.
* Work with IT on the management of the Bright Venue system and assist event managers in completion of all aspects of the system including seating plans.
* Assist the Operations Director by producing monthly reports and updates for clients and senior management.
* Complete team calls with clients when required, capturing all event information and distributing it to the wider team.
Skills:
* Analyse financial information and produce monthly updates for clients and senior management.
* Forecast future revenue for all aspects of the business within Bright Venue.
* Attention to detail when taking information from clients and inputting it into the system.
* Previous operational experience and knowledge with the ability to suggest setups and menu options applicable to the venue and type of event.
* Must Have:
* Be able to think logistically and work under pressure whilst always remaining calm and professional.
* Proficient in MS Office and CRM Systems such as Bright Venue or similar.
* Outstanding communication and negotiation ability.
* Well-organized with multi-tasking skills.
