Scott Arms Medical Centre is currently looking for a Medical Receptionist.
The hours would be varied between 08.00am to 18.30pm over 5 days.
Previous experience of working in a GP practice would be an advantage but not necessary as full training will be given.
The Medical Receptionist role is for an enthusiastic, positive, self-motivated individual who can work both independently and as part of our growing team. Our reception team are the first link for many patients and visitors who come to the surgery. The role varies on a day-to-day basis including greeting patients as they arrive and checking them in, collecting patient notes and ensuring that these vital records go to the right healthcare professional. The day-to-day also involves using the clinical system and other software programmes to make appointments, booking patient transport, booking interpreters, and dealing with test results. In addition, responding to tasks from clinical and non-clinical staff, liaising with external community services and emergency services, and general administration.
Our reception team meet regularly to discuss best practice and ways of improving our service; we work very closely with other teams within the practice and community.
Main duties of the job
Reception is the first point of contact for our patients on the telephone. Our Medical Receptionists assist our patients to receive the right care from the most appropriate clinician.
The position is much more than booking appointments for patients; it involves a whole range of administrative tasks that require the position holder to pay close attention to detail and work accurately using their initiative once trained.
Training will be given as part of an ongoing personal development programme. We are looking for an enthusiastic individual who can adapt to change and learn new skills with support from the management team.
From time to time, we ask our reception team to cover annual leave of other team members through working paid overtime. Being flexible is important to us.

Accountable to Practice Manager
Responsible for dealing with all matters concerning the non-clinical care of patients, either face-to-face or by telephone. A strong professional and flexible approach is essential for the day-to-day running of the organisation of the practice and in the approach to future developments.
Job Responsibilities: The duties and responsibilities to be undertaken by members of the practice administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Team Leader, Practice Manager, and Deputy Practice Manager, dependent on current and evolving practice workload and staffing levels.
1. Maintaining security in accordance with practice protocols.
2. Being aware of and remaining abreast of practice policies and protocols.
3. Knowing where to find phone numbers, policies, and contacts.
4. Computer data entry/data collection and collation; processing and recording information in accordance with practice procedures.
5. Initiating contact with and responding to requests from patients, other team members, and associated healthcare agencies and providers.
6. Clearing and re-stocking consulting rooms as required.
7. Providing clerical assistance to the practice, PCN, and CCG staff as required from time to time, including word/data processing, filing, photocopying, scanning.
8. Providing refreshments for staff and visitors as required; loading and emptying the dishwasher, keeping the kitchen area tidy, and collecting cups from upstairs.
9. Keeping the reception area tidy and free from obstructions and clutter.
10. Charging patients the appropriate amount for private work, providing a receipt to the patient, and recording charge in the receipt book.
11. Receiving, checking, and signing for deliveries.
12. Maintaining a record of daily lab tests, both outgoing and incoming, in a manner suited to the needs of the practice.
13. Filing of notes.
14. Prescription Processing including EPS.
15. Processing face-to-face and telephone requests for appointments, visits, and telephone consultations and ensuring callers are directed to the appropriate healthcare professional.
16. Taking messages and passing on information.
