Responsibilities This Customer Care Representative role focuses mainly on Tender administration, leading the tender process from start to finish, ensuring that tenders are submitted on time and meets all requirements. They are responsible for a variety of tasks, including - Tender Preparation: Prepare, review, and submit tender documents with strict adherence to deadlines. - Tender Alignment: Ensure all tenders align with company policies and tender requirements. - Tender Tracking: Track tender progress and outcomes, maintaining up-to-date tendering portals. - Tender Coordination: Coordinate the collection of tender documents, organize meetings and events. - Tender Documentation: Maintain electronic records, update spreadsheets, and handle a filing system. - Tender Communication: Coordinate communication across the bid team and provide general administrative support. - Tender Quality Control: Support the formatting and quality control of the bid and tender submissions. - Tender SPOC/Coordinator: The SPOC (Single Point of Contact)/coordinator is the central contact that serves in most cases as the first contact. This is to ensures a structured and efficient flow of information internally and externally and therefore plays a critical role in service optimisation and performance improvements. Requirements - Highly diligent and meticulous with the ability to work under pressure to meet deadlines. - Proficient in Microsoft Outlook, Excel, and Word. - Outstanding communication and coordination skills. - Ability to manage multiple tasks and prioritize effectively. - Demonstrated experience in tender administration or a similar role.
