Who We're Looking For:
We’re looking for an exceptional Office/Listing Coordinator who is incredibly organized, customer-driven, and experienced in providing top-tier administrative support in a dynamic office setting. In this role, you will work directly with our luxury real estate group's CEO to oversee the organization's daily operations, streamline efficiencies, and coordinate all property listings.
You should be proactive, personable, and possess a strong work ethic. A sense of humor and the ability to stay calm under pressure are essential. If you thrive in a dynamic, entrepreneurial environment that values mission and results while being team-focused, we want to hear from you.
Key qualities for success in this role include sound business judgment, excellent written and verbal communication skills, and the ability to juggle multiple priorities effectively. The real estate industry is fast-paced and demanding, so we seek someone passionate about their work and the impact they make on both the company and its clients.
Compensation: $75,000 plus Bonus annually based on team production
Responsibilities
* Work with CEO to streamline the operational processes and strategic operations of the business.
* Manage and update company CRM to organize customer segments for targeted marketing and sales efforts.
* Research and prepare comparative market analyses for listing appointments, and attend with CEO as needed.
* Prepare new listings for market launch, including booking vendors, coordinating marketing materials and creating MLS listing profiles.
* Supervise all aspects of seller transactions, from first contact to the execution of purchase agreement, including timely and informative communication with clients.
* Coordinate the CEO’s daily schedule, including managing the calendar, prioritizing tasks, and preparing for all appointments and meetings.
* Answer phone calls and emails, return messages, and route inquiries to the appropriate individuals--act as the hub of this thriving luxury real estate office.
Qualifications
* Experience: Proven experience in office administration is essential. Real estate experience is advantageous but not required.
* Organizational Skills: Impeccable organizational abilities, capable of managing and prioritizing multiple tasks efficiently.
* Communication Skills: Excellent verbal and written communication skills, with a strong attention to detail in composing, typing, and proofreading materials.
* Interpersonal Skills: Charismatic and personable, with the ability to handle sensitive and confidential situations with poise, tact, and diplomacy.
* Adaptability: Ability to meet deadlines, stay calm under pressure, and adapt to a fast-paced, evolving and exciting work environment.
* Independence and Direction: Able to work independently on assigned tasks while also following directions and accepting feedback on assignments.
* Customer Service: Strong interpersonal skills with a commitment to providing exceptional service to luxury clientele. Personable, welcoming, and attentive.
* Technical Skills: Proficiency with a variety of computer software applications is necessary. Experience with iPhones and Apple products is highly preferred.
* Growth Mindset: Competitive, with a strong commitment to both personal and professional development.
* Commuting Requirement: Must be willing to commute to and work in our Winchester office. This is not a remote or hybrid role.
