Role Overview:
As a Project Coordinator, you will play a crucial role in ensuring the successful execution of installations and small works projects. You will be responsible for managing the workload, resources, and documentation, ensuring all projects are completed on time, within budget, and to the highest standards of quality.
Key Responsibilities:
* Project Management: Manage the ongoing Installations & Small Works workload using WIP (Work in Progress) and project tools to track and update the status of each project.
* Documentation: Ensure that all paperwork from the Sales Department is accurate and feasible in coordination with the Project Manager. This includes:
o Reviewing consistency of client documents (enquiries, quotations, costings, instructions).
o Verifying equipment availability, job costing, selling prices, and necessary datasheets and drawings.
* Resource Coordination:
o Organize pre-installation surveys, materials, and labour resources.
o Check materials stock and ensure the correct equipment and materials are packed and labelled for each project.
o Raise Purchase Orders when necessary for equipment and materials not in stock.
o Allocate tasks to appropriate engineers/subcontractors and schedule work in diaries/planners.
* Client Communication:
o Serve as the point of contact for clients to arrange appointments and maintain professional and courteous communication.
o Ensure clients are kept up to date on project progress and completion, issuing invoices, reports, and certificates as necessary.
* Project Completion:
o Coordinate with the Project Manager to ensure all pre-works documentation is administered correctly (e.g., Risk Assessments, Method Statements, Work Permits).
o Review engineers' reports and ensure all works are completed as per sales order and signed off by the Project Manager.
o Log and update project details on the company’s operating system, ensuring data is accurate.
* Financial Monitoring:
o Monitor and report on job performance against planned budgets (P&L).
o Ensure subcontractor invoices are accurate and processed for payment.
* Quality and Compliance:
o Follow ISO 9001 and LPCB procedures to maintain high-quality standards across all projects.
o Assist with the administration of T&M (Time & Materials) works when needed.
* Stock Management:
o Receive, inspect, and manage deliveries of equipment and materials for installation projects and stock.
o Handle returns for excess, faulty, or incorrect items.
Requirements:
* Proven experience in project coordination or similar roles within the Alarm/Fire Protection or Engineering or equivalent
* Strong organizational and multitasking skills with an eye for detail.
* Excellent communication skills, both written and verbal.
* Proficient in using project management and office software (e.g., Microsoft Office, project management tools).
* Ability to work independently, take initiative, and manage multiple priorities.
* A proactive approach to problem-solving and resource management.
* Knowledge of ISO 9001 and industry-specific quality standards is an advantage.
