About the Role:
Our client, a well-established company within the financial services sector, is seeking a Trainee Client Support Administrator to join their growing team. This is an exciting opportunity for someone with at least one year of experience within the financial services industry, whether from a provider or Independent Financial Adviser (IFA) background with a progression focused mindset. The successful candidate will provide crucial administrative support to the existing team and will have a clear, structured progression path within the business.
Key Responsibilities:
Initial responsibilities include:
1. Scheduling client appointments
2. Opening and franking mail, scanning relevant documents to client files, and updating the back office system
3. Typing up Client Factfinds
4. Updating the pending work list daily
5. Ensuring accurate and up-to-date client data on the back office system
6. Answering the phone, greeting visitors, and offering refreshments for office and client meetings
7. Communicating with clients and providers via phone and email
8. Ensuring client files are compliant with FCA and company guidelines
9. Preparing general correspondence, letters, and emails
10. Undertaking general administrative duties such as photocopying and filing
Further responsibilities after training include:
11. Sending Letters of Authority to life companies and following up
12. Issuing policy documentation and processing withdrawal/surrender requests
13. Obtaining values for client reviews and preparing valuation reports
14. Conducting research as required
15. Processing and chasing new business (both paper-based and online)
16. Processing fund switches, rebalances, and preparing reports from templates
Key Requirements:
17. At least one year of experience within a financial services role (from providers or IFAs)
18. Proficiency in Microsoft Word, Excel, Outlook, and Internet Explorer
19. Experience with Intelligent Office, platforms, and provider websites is desirable but not essential
20. Excellent interpersonal and communication skills
21. Ability to work under pressure, meet deadlines, and manage a varied workload
22. A keen eye for detail and accuracy
23. Ability to work both independently and as part of a team
