Location: Hybrid role based at the Company’s Office 1 - 2 days p/wk (situated between Kings Cross/St Pancras and Caledonian Road tube stations) Reporting to: Senior Executive Assistant Role Overview This dynamic role offers a unique blend of private and business administrative support. The successful candidate will provide high-level personal assistance to the Founder & CEO and family, to ensure the smooth operation and seamless integration between personal schedules and professional demands, while also managing essential business admin tasks for F1® Arcade, The role is reporting directly to the Senior Executive Assistant and requires strong organisational skills, impeccable attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Key Responsibilities: • Day-to-Day Family Support: miscellaneous management of personal needs for the Founder & CEO and their family • Household Management: Handling the administration of both the London apartment and Sussex family home. This includes coordinating household maintenance, scheduling visits by contractors, and managing utility accounts (e.g., electricity, water, internet) as well as council tax • Technology and Communications: assisting with managing of the tech and communication systems within the households, such as computer networks, phone contracts, and email accounts • Vehicle Maintenance: arranging car servicing, repairs, vehicle tax, and insurance • Children’s Schedules: assisting with managing the children’s schedules, including extracurricular activities, school functions, and holiday plans, ensuring alignment with family and business commitments • Personal & Event Projects: researching, planning, and executing private projects such as family holidays, house moves, and personal events, ensuring all logistics are organised. Efficient implementation and maintenance of personal documentation filing • Financial Administration: overseeing personal business bank accounts, including bill payments and tax return process • Healthcare Coordination: scheduling medical appointments, liaising with healthcare providers • Appointments and Reservations: tables at restaurants, personal appointments (eg. tennis lessons, golf, acupuncture etc.) • Arranging Transport: flights, trains, taxis and couriers for the family as relevant • Diary Management: coordinating family diaries, ensuring personal commitments align with business schedules through proactive calendar management and scheduling • Documentation Filing: & Date Tracking: efficiently maintaining personal documentation filing systems, including login details for key accounts, and tracking important dates (e.g., birthdays, anniversaries, direct debits, renewal and payment deadlines) for timely follow-up Business Assistant Duties (F1® Arcade Support): • Organising business travel logistics, including flights, trains, hotels, and transfers for the Founder & CEO and senior team members, creating detailed travel itineraries • Handling visa applications, renewals, and coordinating frequent flyer programs or air travel rewards for both personal and business use • Helping prepare expense reports alongside the admin team for the HQ leadership team, ensuring correct receipts and allocation to budgets • Updating company documentation with new branding formats according to the F1 Arcade brand guidelines, ensuring professional and cohesive company image • Assisting in the welcome process for senior leadership hires by coordinating their onboarding schedules, ensuring they are well-integrated into the team • Supporting various business projects relating to the Head Office or the departments on an adhoc basis • Please be aware that this list is not exhaustive, and you will be expected to comply with any other reasonable requests.
