Position Overview
We are looking for a highly organised and detail-oriented Apprenticeship, Data & Compliance Manager to provide essential coordination, data and operational support across Estu's activities.
This role ensures apprenticeship and other funded programmes run smoothly and are in full compliance. You’ll be bridging the gap between data management and educational outcomes, while supporting learner journeys through accurate data-driven insights.
You must have a current working knowledge of apprenticeship funding rules, ILR returns, and learner tracking platforms.
Reporting to the Client Services Director, you will play a key role in ensuring the smooth running of our apprenticeship and Skills Bootcamp programmes, from learner engagement to data management and reporting.
In this position, you will work closely with our delivery and operations teams to maintain the highest standards of service and ensure all administrative processes are managed efficiently.

Key Responsibilities
* Operational support: Provide coordination and support across departments, managing workloads effectively and ensuring deadlines are met.
* Providing support to Tutors, Trainers, and Management: Assist the delivery team by supporting training activities and completion of e-learning assessments, ensuring timely feedback to learners in line with SLAs.
* Learner engagement: direct interaction with and support for learners to ensure exceptional learning experiences. Including support to meet access requirements and ad-hoc query handling.
* Apprenticeship administration: Provide advice and guidance on apprenticeship administration, ensuring adherence to relevant procedures and compliance with regulations.
* Data management: Maintain and update Estu’s Management Information Systems (MIS) and e-learning platforms (e.g., Bud), ensuring all learner data is collected, processed, and recorded in line with data regulations and contractual obligations.
* Processing learner data: Manage learner data, including processing enrolments, withdrawals, transfers, achievements, and breaks in learning. Resolve queries related to data issues, including ILR/DAS errors, escalating as necessary.
* Digital Apprenticeship Service (DAS): Process requests through the DAS and ensure accurate records are maintained.
* Learner tracking & reporting: Contribute and respond to learner data requests and queries, including tracking apprenticeship starts and completions. Provide reports to the Client Services Director and Learning Support team on attendance, engagement, and quality of in-learning evidence.
* Monitoring & escalation: Monitor apprentice engagement and escalate issues to Tutors, Trainers, and Management, ensuring the learning journey is supported at all stages.
* Communication: Professionally liaise with internal and external customers through varied communication channels, ensuring operational effectiveness and efficient handling of queries.
* Scheduling & coordination: Organise virtual classroom sessions, meetings, and events as required, ensuring resources are allocated and managed efficiently.
* Continuous improvement: Contribute to process improvements, offering feedback and suggestions to enhance the efficiency of operations.
Your Experience & Knowledge
* Minimum 3 years' experience in the education/training sector.
* You must have in-depth knowledge of funding rules, ILR returns, apprenticeship service and learner management systems.
* Familiarity with apprenticeship and/or Skills Bootcamp programmes is essential.
* Strong organisational and time management skills, with the ability to prioritise tasks and manage multiple workflows.
* Strong proficiency in Microsoft Office applications (Excel, Word, PowerPoint, Outlook).
* Experience using learner management systems is key.
* Strong verbal and written communication skills, with an ability to liaise professionally with colleagues, clients, and learners.
Location
This role offers flexible working arrangements. You can opt for a hybrid setup, with 1-2 days per week in our Central London office (Moorgate), or work fully remotely.
