To provide support to both the Franchise and Operations teams with administration tasks and business planning. Working to tight deadlines to organise, adapt and problem-solve in a busy office environment. Key Responsibilities: Operations Support - Assist Senior Director with calendar, admin and meeting plans - Manage filing systems, including online reports and documents within shared folders using various database systems - Review aggregators performance and communicate opportunities to the Operations team. - Challenge aggregators for refunds/issue resolution - Liaise with third party suppliers including delivery partners - Manage insurance claims (end-to-end) - Maintain the PDMS system - Administration of Late Night Refreshment licences - Liaise with individual councils for food registration and regulations - Point of contact for Environmental Health Officers for Corporate stores Franchise Administration - To support recruitment leads from incoming calls, correspondence and internet applications - Perform online credit checks (Experian) for potential franchisees and limited companies. - Assist in the new application process together with any changes to existing FO's through to approval including GDF (general details form) and NSOs (confirmation memo's) - Obtain signed application documents including franchise agreements - Maintain franchisee filing system from application stage through to approval / archive - Manage and maintain the GDD (Global Development Database) on behalf of Papa Johns of all new / existing franchisee information Change of Hands Facilitation - Assist in the sale/purchase process - Liaise with seller regarding appointing Papa Johns to facilitate with the sale of a store; ensuring the required information is submitted - Liaise with the buyer, obtaining required information submitted for the Leadership Team to approve the sale/purchase - Provide sufficient information (lease, underlease etc) to Papa Johns solicitors to enable the appropriate legal documentation to be prepared - Advise aggregators that changes are happening to assist with a smoother transition for the new owners for onboarding their systems - Ensure all records are updated and correspondence is filed for records and auditing purposes Office Administration - Facilitate processes for any new systems / ways of working to assist all users with implementation It is the policy of Papa John's to provide equal employment opportunities for all applicants and team members without regard to race, color, religion, sex, age, marital status or civil partnership, national or ethnic origin, pregnancy or maternity, veteran status, uniformed service (as defined by 10 U.S.C. §101 (a)(5)), protected disability status, genetic information, sexual orientation, gender identity, gender reassignment, or gender expression, or any other characteristic protected by statute or law.
