This is an exciting apprenticeship for an experienced customer service/ office assistant who will join our events team. As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.
What you’ll do at work
As our Office Assistant working along side of Events & Wedding Manager, your responsibilities will be to develop and manage all areas of Weddings and Events. You should have a warm, personable nature and a can-do attitude. Your day to day duties will include:
* Excellent telephone manner, with the ability to communicate effectively and maintain a high level of confidentiality
* Intermediate knowledge of Microsoft systems to include Word, Excel, PowerPoint, Outlook and the Internet
* Take enquiries and bookings in an efficient manner
* Maintain and manage the events diary ensuring all bookings are inputted directly upon receipt and updated where necessary.
* Be familiar with all Meetings and Events Diary Standards of Operation.
* Handle all telephone and written enquiries as to availability for potential wedding or function space.
* Ensure the complete administration and execution of all planned events.
* Effectively communicate ensuring leads are responded to in the required time and regular contact is made to the progress of each booking.
* Be able to act with initiative, planning for the future and possible consequences. Be pro-active in getting things done and exceed expectations of both guests and colleagues where possible.
* Prepare all quotations, proposals and contracts according to the client’s requirements - full understanding of the business required
You must have experience in a similar environment with the knowledge and confidence to deliver the role described below, combined with a passion for delivering exceptional service.

Course contents
* Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
* Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
* Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
* Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
* Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Apprenticeship Details - 16 months expected duration to complete, working towards your Level 3 Business Administration Qualification. (All learning is delivered online/ remote).
