We are seeking a highly organized, professional, and proactive Personal Assistant to support the Managing Director (MD). This role will serve as the first point of contact between the MD and internal/external stakeholders, ensuring smooth operations and efficient handling of various administrative tasks. The ideal candidate will be detail-oriented, capable of multitasking, have excellent grammar, and maintain confidentiality and professionalism in all aspects of the job. Very occasional travel within the Northwest region may be required.
Role responsibilities:
* Executive Support: Provide comprehensive administrative support to the MD, including calendar management, scheduling meetings, and making travel arrangements, including coordinating the activities of the Company Driver.
* Communication: Act as a liaison between the MD and stakeholders, managing calls, emails, and correspondence, and prioritizing requests effectively.
* Document Preparation: Produce, format, and proofread confidential emails, letters, reports, and other documents, ensuring high standards and proper filing.
* Meeting Coordination: Organize meetings, set reminders, prepare agendas, take minutes, and follow up on action points.
* Travel Arrangements: Coordinate complex travel plans for the MD and Senior Leadership Team, including flights, accommodations, and itineraries.
* Confidentiality: Handle sensitive information discreetly, conducting business with professionalism and integrity.
* Office Management: Manage office supplies, handle mail, and maintain the MD's office space.
* Project Assistance: Support specific projects or initiatives as requested, helping streamline workflows and meet deadlines.
* Event Planning: Assist in organizing company events and conferences, liaising with venues, producing invitations, and representing the company as needed.
Required Experience:
* Proven experience as a Personal Assistant, Executive Assistant, or similar administrative role.
* Strong organizational skills to manage multiple priorities in a fast-paced environment.
* Excellent verbal and written communication skills, with superb grammar.
* Proficient IT skills, including Microsoft Word, Excel, PowerPoint, Outlook, and other internal systems.
* High attention to detail and accuracy.
* Discretion and confidentiality handling sensitive information.
* Problem-solving skills and a proactive approach.
* Exceptional time management and multitasking abilities.
* Flexibility and adaptability to work independently and in a team.
