JOB DESCRIPTION Position: Evening Receptionist - Freelance Reporting to: Senior Management Salary: £13- £15 per hour (based on experience) Hours: Part Time – 14 hours a week (36 weeks per year, mostly during term time) Monday to Thursday: 4.30-7.30pm and Fridays: 4.30-6.30pm PPA is an independent Performing Arts Higher Education College based in Guildford, Surrey. SUMMARY OF THE POSITION As Evening Receptionist you will be responsible for creating an excellent first impression to all students, staff, visitors and guests who come to PPA and will act as their first point of contact. You will be responsible for the day to day running of the Reception area during the evening hours, dealing with any general enquires, responding to emails and telephone calls, and following up where necessary. You will support PPA in ensuring it is a safe place to work and train. You will also provide administration support to Course Leaders and the Senior Management Team, when requested and will be responsible for maintaining student and staff records. KEY ROLES AND ACCOUNTABILITIES RESPONSIBLE FOR (but are not limited to): Liaise regularly with both academic and administrative staff and students. Meet and greet visitors, students and staff. This varied role requires the exercise of independent judgement and initiative, strong administrative and excellent interpersonal skills. 3. Deal with general enquiries by telephone or email. 4. Ensure student and staff records are up to date and maintained. 5. Check the building at the end of each day and ensure it is locked securely before leaving. 6. Comply with all relevant College policies and procedures. 7. Person Specification: Essential Excellent IT skills and be proficient in the use of Microsoft Office applications. A good working knowledge of Microsoft Excel Excellent time management Excellent written and verbal communication skills Flexible and willingness to learn Ability to use own initiative and work independently Excellent organisational skills and ability to manage multiple tasks Excellent attention to detail.
