Date Posted: 20/12/2024 Location: Reigate Job Type: Part time Part Time Events Coordinator Reigate Hybrid (min 50% office based) 21 hours or 3 days per week– one day will be Friday We have a opportunity for an Event Coordinator / Events Administrator, to join our Retail team and support the Events Executives with the planning, coordinating, and executing various events, including conferences, seminars, webinars, and exhibition. As an Events Coordinator, you will also support with aspects of the post event process following these events, such as data entry into our CMS system as well as the maintenance and compliance sign off of all power point presentation packs and reporting required following these events and MI analysis Key Responsibilities: Working with the Event Executives to support with the events we are running, including jobs such as pre packing delegate bags, managing merchandise stock levels in the office and managing pre and post event delegate lists. Support the Event Executive team with the post event and follow up processes, creating spreadsheets of data, supporting sending out post event emails, supporting loading follow up calls for the sales team and preparing and creating post event reports. Represents the Group at events to support delegate networking and where necessary provides on-the-day assistance Working with the Development and Events Director and Retirement and Later Life Specialist, this role will support with the administration of the creation and compliance sign off of PowerPoint presentation packs and supporting documents Liaising with various stakeholders to ensure all presentation packs are consistent in their design and align with our branding guidelines. Supports in-house webinars and work with our Event Executive to ensure we have promoted the webinar fully Skills and Experience: Previous event coordination / administration Excellent inter-personal and communication skills – both oral and written Ability to liaise at all levels, both internally and externally Ability to work under pressure, maintaining accuracy whilst achieving timescales Excellent IT skills, including Word, Excel and PowerPoint High level of initiative and self-motivation Strong customer focus
