About the Role
The role is fast paced, requiring an ability to work to tight and conflicting deadlines, process information accurately, making quick and effective decisions. The ideal candidate would be proactive, calm under pressure, be able to reassess priorities, take initiative and be one step ahead, with a can-do attitude and able to work with minimal supervision. The role requires high levels of attention to detail, diplomacy, and an understanding of the business.
Key Responsibilities:
1. Provision of broad and effective administrative support including, minute-taking for meetings, including PSG (Europe and Asia Pacific) and Group Project / Operations meetings, noting the action points from the meeting, and coordinating compliance across the team and wider business.
2. Preparation and formatting of templates, presentations, letters, messages, and emails as required, such as RFAs and VRFs, ensuring that priority is given in a diplomatic and consistent way.
3. Full coordination and preparation of various Reports, including ExCom and PSG (Europe and Asia Pacific), editing, printing, collating, binding, and circulation on an ongoing basis. Ensuring reports are prepared to meet necessary timelines and corporate standards.
4. As an ‘Authorised Travel Administrator’ provide overview and assistance of TAFs, providing support through Corporate Traveller where required.
5. Management of IT support systems including DocuSign uploads and workflow, Gateway and CAG tracking schedules.
6. Management of Group Project online folders, keeping an up-to-date and workable filing system. Responsible for ensuring all documents are filed and updated with an effective index system such as version control, and that files are archived as and when necessary.
7. Involvement in the effective coordination of internal and external functions including workshops and meetings liaising as necessary with the relevant departments and ensuring company processes and standards are followed and maintained in doing so.
8. Flexibility to work outside normal office hours as and when required.
About You
You are a driven and detail-oriented professional with a positive outlook and proactive approach. You handle administrative tasks independently, exercise good judgment, and keep your team informed. With excellent written and verbal communication skills in English, you manage confidential information discreetly and remain calm under pressure.
Key Requirements:
1. Degree/school leaving qualification.
2. Experience working as a PA or administrator.
3. Experience supporting a team or a director in a fast-paced administrative capacity.
4. Advanced MS Office knowledge (Word, Excel, Outlook, PowerPoint).
