Key Purpose
The role of an Admin Support Officer (ASO) based within the Offender Management Unit (OMU) is to work as part of a team, this could be in a multitude of areas within the OMU function. This includes but is not limited to, allocating work to Prison/Probation Offender Managers and obtaining information to assist with and inform risk management, updating prison records and sentence calculations or working with the Public Protection Unit.
Structure & Reporting Relationship
To report directly to OMU Hub Managers who report directly to Head of Offender Management Services (HOMS) and Head of Reducing Reoffending.
Role Essentials
The following duties are provided as a general guide in relation to the requirements and objectives of this position. This person may also be required to undertake any other activities as required of this position. Specific performance requirements and expectations will be agreed in an annual performance agreement.
Day to day tasks:
* Updating prison recording systems (NOMIS/DPS/local databases) following admission of all new prisoners whether remand/sentenced.
* Liaising with both internal and external agencies on behalf of the Offender Management Unit
* Contributing to the smooth running and overall performance within the department
* General admin – filing of documents/parcels as well as collecting/sending mail for the department
General admin -
* Allocating cases to Prison Offender Manager (POM) caseloads.
* Identifying those requiring risk assessments such as initial and recategorisations as well as OASys/Sentence Planning.
* Scheduling, attending and completing minutes for meetings such as IPP progression panels and monthly Inter-Departmental Risk Management meetings (IRMM).
* Overseeing functional mailboxes, obtaining legal documentation and warrants following court/videolink appearances
Case admin -
*
o Ensure prison records and systems are up to date, reflecting any court appearances/sentences
o Interpret warrants and calculate sentences from the court
o Liaise with the court to ensure and anomalies are corrected
o Prepare paperwork for release and ensure relevant agencies are informed
Public protection admin -
*
o Checking information on all legal documents received from court, making assessments based on these in relation to public protection arrangements
o Monitoring phone calls/mail of relevant prisoners, recording this appropriately and reporting where necessary.

* Contribute to the delivery and achievement of all performance measures, contract outcomes and locally agreed targets including KPI’s/CDIs as outlined in your personal development review.
* Adhere to the Code of Conduct.
General:
* Comply with all policies, procedures and legislation applicable
Commit to personal training and development to ensure skills and knowledge are maintained at the appropriate level .
Essential technical and professional skills, knowledge and qualifications
English – Grade C or above
Mathematics – Grade C or above
Computer skills – including Outlook and Excel
