We are looking to recruit an experienced Assistant Facilities Manager to join our Investment & Property Management (IPM) team based at Granta Park, Cambridgeshire.
Our successful IPM Team manages over £750 million worth of commercial properties for a diverse range of clients, including Cambridge colleges, institutions, property companies, and family trusts. They aim to maximise the potential of our clients' property assets while aligning them with broader investment strategies.
This position involves delivering first-class facilities and property management services, fostering strong relationships with clients and tenants, and ensuring compliance with statutory and regulatory standards.
The post-holder will work closely with the Property Manager and the Senior Facilities Manager, contributing to the effective management of the site and achieving client objectives.
In this role, you’ll have the opportunity to manage high-profile properties and build lasting relationships with clients and tenants. This role provides the chance to grow your skills and make a meaningful contribution to the management of a thriving science and research community.
What you'll be doing:
1. Managing multi-let sites and buildings, including line management of on-site staff.
2. Preparing and reconciling service charge budgets in accordance with RICS guidelines.
3. Supervising contractors, monitoring performance, and overseeing re-tendering processes.
4. Conducting regular property inspections and addressing findings as necessary.
5. Handling tenant applications and maintaining consistent communication with tenants through meetings and correspondence.
6. Ensuring statutory compliance in health and safety matters, including risk management and monitoring.
7. Assisting with financial management, including expenditure control and invoice verification.
8. Maintaining and updating property management databases and records.
9. Providing additional support during the Estate & Events Manager’s absence.
About You:
1. A minimum of 2 years Facilities or Property Management experience within a multi-site/high-profile environment.
2. Proficiency in service charge budgeting and accounting.
3. Proven track record of managing contractors, suppliers, and on-site staff.
4. Strong knowledge of health and safety compliance and risk management.
5. Competence in Microsoft Office applications (Excel, Word, Outlook) and property management software (e.g., Propman).
6. Excellent communication and organisational skills, with strong attention to detail.
7. A team-oriented approach with a proactive and positive attitude.
8. FM-related qualifications (e.g., MBIFM, DipFM), property-related qualifications (e.g., MRICS, AssocRICS), or health and safety certifications (e.g., NEBOSH, IOSH) are desirable but not essential.
9. Familiarity with commercial leases and landlord/tenant relationships is also desirable.
