Key Responsibilities:
* Personal assistant to Research Centre Director, manage the diary, coordinate and maintain day to day administrative and secretarial services, handle travel arrangements as required, including hotels and tickets bookings;
* Document management: draft documents (letters, meeting minutes, reports, etc), in addition to handling and maintaining confidential information, filing documents and tracking the process.
* Event management: schedule appointments, prepare and coordinate meetings, organise department activities;
* Manage the department’s awards: draft/update the annual award policy, collection nominations and organise the selections. Follow up the award publication and process the payments.
* Assist the Director to maintain external relations;
* Work closely with Finance and Procurement team in terms of PR/PO raising, invoice receiving and expense claiming;

Person Specification:
List details of Knowledge, Skills, Experience and Qualifications needed to do the job:
* University degree in Business Administration/HR/Psychology or other relevant subject with major in Management or specialized qualification preferred
* Language skills: proficient in both English and Chinese is essential.
* Good command of MS Office (Word, Excel, PowerPoint, Outlook) and design software (Photoshop, AI, ID)
* Proactive, demonstrates excellent communication interpersonal skills, confidentiality and professionalism
* Must be systematic, detail oriented, efficient and able to handle multiple tasks with discretion
