Training Coordinator (EHS)

This position will sit in the Health & Safety division of the business, where we provide both bespoke and accredited training (IOSH, Nebosh, IEMA) and consultancy to a range of businesses. You will review and manage bookings and the accompanied administration and coordination.
Key Responsibilities:
* Review and manage bookings for EHS training requests from clients, ensuring the accuracy and quality of booking forms.
* Coordinate with third-party training suppliers to source appropriate courses based on client requirements, focusing on Health & Safety training.
* Liaise with trainers and associate trainers, making necessary arrangements for travel, accommodation, and other logistics as required.
* Send calendar invitations via Outlook to confirm course bookings, ensuring the correct template is used.
* Distribute joining instructions for confirmed courses, following the appropriate format.
* Book venues as needed, coordinating trainer and supplier availability with venue schedules.
* Manage client relationships, addressing issues, discrepancies, or incomplete Health & Safety/Compliance training requests by escalating to Manager when necessary.
* Meet service levels and KPIs, ensuring timely delivery of training and maintaining high-quality standards at each stage of the booking process.
* Accurately log all activities in a shared tracker (currently in Excel) using the agreed format.
* Strong proficiency in Excel, with the ability to manage multiple spreadsheets simultaneously, and confidently use Outlook and TEAMS. ESSENTIAL.
* Order print materials for trainers and associate trainers ahead of course delivery, ensuring the accuracy of all postal addresses.
* Sense-check all calendar invites, purchase orders (POs), joining instructions, and information in the SharePoint tracker to ensure accuracy and consistency.
* Seek support when needed – ensuring the guidance provided is understood and applied to the task.
* Keeping team/Manager updated on any escalations/ challenging bookings.

* Highly organised, with the capability to adhere strictly to established processes and procedures.
* Strong attention to detail and a high level of accuracy, aptitude, and diligence, which are essential for success in this role.
* Takes full ownership of bookings from start to finish, ensuring that each step meets the required KPIs.
* Supports the Manager with additional tasks as needed, contributing to overall team efficiency.
* Responsive to feedback, with the ability to apply constructive input to improve performance and enhance efficiency in tasks.
