Position : Operations Coordinator Suttons International Salary: Up to £25k Location: Widnes (Hybrid) The Role To provide essential administrative support to the Operations Team, working closely with the Logistics Coordinators, enabling them to focus on core customer service activities and effective job control. Managing the efficient and cost-effective execution of key support services including communicating with suppliers (e.g., shipping lines, hauliers, depots), as well as monitoring and updating in-house systems. Follow administrative processes for non-conformance reports and complaints coordinating communication with all relevant parties ensuring accurate data entry and timely responses. Key Accountabilities Collaborate with other Operations Teams, as well as Commercial, and Procurement Teams to provide excellent customer service and implement operational solutions. Receiving and responding to reports of customer complaints and non-conformance. Support the completion of regular reporting and data entry into customer portals. Assist in obtaining customer approval codes for additional costs. Support the Logistics Coordinator with the efficient and cost-effective execution of customer orders Verify the accuracy and completeness of supplier invoices, identify and resolve discrepancies effectively. Process supplier invoices accurately and efficiently, ensuring timely allocation of costs to corresponding jobs. Actively identify missing costs and communicate these observations with Supervisor. Identify improvements to minimise invoice disputes. Accurately record all non-conformance and complaints on in-house system, ensuring escalation to internal and external stakeholders appropriately. Monitor submission of documents and data relating to non-conformances ensuring recorded accurately. Perform general administrative tasks as requested, including scanning, filing, and preparing correspondence. Provide support to other departments as needed. Utilise in-house systems, logistic partner and supplier portals, and other relevant systems. Required Experience and Skills Experience in an administration supporting role, ideally within the logistics industry. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Strong organisational and time management skills with the ability to prioritise tasks effectively. Experience with invoice processing and reconciliation. Attention to detail and accuracy. Strong communication and interpersonal skills, both written and verbal. Experience in a team environment for effective collaboration with internal stakeholders. Desired Experience and Skills Experience in a logistics, freight forwarding or tank container transportation industry. Knowledge of industry regulations and customs documentation. Basic data analysis skills with the ability to identify trends and patterns. Experience with logistics software or systems, and online portals.
