Accounts Assistant - Part time
Woking (Sheerwater area)
£25K-£28K per annum
Accounts Assistant required in the Sheerwater area of Woking to work for a SME manufacturing organisation producing goods that are shipped globally. The Accounts Assistant will play a role in managing financial transactions and ensuring the smooth operation of accounts across the business. This part-time role (3 days per week) and will involve key tasks in accounts payable and receivable, reconciliations, chasing invoices, general administration, and internal and external communications. The role offers an opportunity to work in a fast-paced environment, handling critical financial processes, while supporting the Managing Director.
Key Tasks and Responsibilities
1. Process supplier invoices using ERP software, ensuring accurate entries and reconciliation.
2. Match invoices against purchase orders and resolve discrepancies where necessary.
3. Proactively resolve supplier payment queries and disputes.
4. Reconcile supplier statements and track overdue invoices, chasing suppliers for copies as required.
5. Support the processing of credit notes in relation to disputed invoices.
6. Distribute customer statements via email and post on a regular basis.
7. Follow up on outstanding customer payments to ensure that payments are received within agreed terms.
8. Carry out monthly bank reconciliations and ensure all transactions are accurately recorded.
9. Assist with preparing trial balance reports and end-of-month financial reports.
10. Support the quarterly VAT return process, ensuring compliance with all tax regulations.
11. Post journals as necessary for accurate recordkeeping.
12. Process credit card receipts and ensure accounts are properly reconciled.
13. Review and process employee expenses, ensuring all receipts match claims and adhering to company policies.
14. Update and maintain the customer pricing structure in Odoo ERP.
15. Ensure that customer account details are kept up to date and accurate.
16. Provide general administrative support within the accounts team.
17. Organize and maintain filing systems for accounts-related documents, ensuring easy retrieval and compliance with company procedures.
18. Manage phone calls and inquiries in a professional manner.
19. Report regularly to the Managing Director regarding progress on daily tasks, work allocation, and priorities.
20. Communicate any issues related to customer requirements or supplier performance and work towards resolving them.
21. Liaise with external accountants and provide necessary financial reports and data, with support from the Managing Director.
22. Ensure that company quality procedures are adhered to, reviewing them regularly with the quality representative.
Experience Required:
1. Experience in an accounts-related role, with familiarity in using Odoo ERP or similar accounting software.
2. Strong understanding of accounting principles, including accounts payable, receivable, bank reconciliations, and VAT returns.
3. Proficiency in handling credit card receipts, employee expenses, and journal posting.
4. Excellent attention to detail and accuracy in managing financial records.
5. Strong organizational skills and the ability to manage multiple tasks within a part-time schedule (3 days a week).
6. Professional communication skills, both written and verbal, with the ability to liaise effectively with internal and external stakeholders.
7. High level of confidentiality and trust when handling financial data.
