Job Summary
The Resource Assistant is accountable to the NEPTS Resource Manager for the delivery of the service by providing resource administration and coordination. They will contribute to the Non-emergency patient transport services division by utilising the global rostering system (GRS) and cleric booking system in the planning of daily resources.
Main duties of the job
* The resourcing assistant will proactively support the NEPTS resource manager and planning team in resource administration and coordination.
* Will maintain standardised procedures in the use of Global Rostering Systems (GRS) and Cleric data systems.
* Will act as the first point of contact for NEPTS staff for reporting absence from working, processing of annual leave and the allocation of overtime and bank worker shifts.
* Will ensure the production of core rotas and all information held on data systems (within NEPTS) are accurate and conform to the Working Time Directive.
* Will utilise GRS & Cleric to obtain analytical reports and statistical information which support daily activity and operational demands.
* Support the resource manager to ensure that the appropriate resources / vehicles are available to deliver a safe and effective NEPTS service.
* Will support the NEPTS planning team during periods of absence to ensure that the function can continue to provide an efficient service.
* To maintain the NEPTS vehicle defect reporting system, ensuring that arrangements have been made for timely repairs to the fleet and escalating areas of concern to the NEPTS resource manager & fleet teams.

Job responsibilities
Communication And Relationship Skills
* To act as a focal point for staff to report sickness and unforeseen absences, recording detail in GRS and advising their line managers accordingly.
* The resource assistant will ensure that effective communication / reports are established between the NEPTS resourcing team and NEPTS control in relation to resource / vehicle indicators which will impact on operational cover, example vehicles off road, sickness & annual leave.
* To support with all incoming and outgoing communications (primarily by telephone and email) processing enquiries and managing all GRS related information as per the Standard Operating Procedures.
* Will maintain the divisional vehicle accident procedure, ensuring that data is collated in line with the standard operational procedures and that communication channels are maintained with managers responsible for each case.
Knowledge, Training And Experience
* To be able demonstrate an understanding of work procedures and practice in relation to the global rostering system and cleric.
* The resource assistant will demonstrate knowledge of how NEPTS delivers its services for patients and awareness of NEPTS operational plans.
* To support with the preparation of reports and design of team presentations as required.
* There is a requirement to demonstrate an understanding of the Working Time Directive and GRS system related policies and procedures.
Analytical And Judgement Skills
* The resource assistant will gather information relating to patient journeys and fact find vehicle related issues, some of which may require further analysis.
* Analyse abstractions within GRS daily to ensure that resources are deployed effectively to maintain service delivery.
Planning And Organisational Skills
* There is a requirement to work regularly without supervision.
* To support the resource manager to allocate overtime to cover core shifts on a fair and equitable basis, ensuring that staffing is at its optimum to maintain service delivery.
* Demonstrate initiative to support the NEPTS resource manager resolve resourcing issues and problems which prevent the service from providing the provision of high-quality care.
Physical Skills
* The Resource Assistant will input, extract and manipulate data on a daily basis, demonstrating competency in the use of MS Word and Excel and other work-related systems.
Policy and Service Development
* Participate in the review and implementation of new systems and contribute to the development of NEPTS processes relating to the resourcing function.

* The post holder will observe a personal duty of care in relation to equipment and resources used in the course of work.

Person Specification
Qualifications Essential
* Educated to Diploma Level or equivalent.
* RSA 1 or equivalent experience.
Experience Essential

Knowledge Essential
* Able to handle competing demands.
