Key Responsibilities
:
Reception Duties:
1. Greet clients and visitors in a professional and welcoming manner.
2. Answer, screen, and direct phone calls promptly, ensuring all inquiries are handled professionally and efficiently.
3. Manage incoming and outgoing mail and packages.
4. Monitor office supplies and coordinate stock ordering.
5. Maintain a clean and organised reception area.
Administrative Support:
6. Provide general administrative assistance to legal teams, including filing, document preparation, and data entry.
7. Assist with scheduling meetings, appointments, and conference calls.
8. Update client records and ensure confidentiality at all times.
9. Prepare client-facing documents and correspondence, as required.
10. Assist in the management of legal calendars and deadlines.
Client Interaction:
11. Liaise with clients to arrange consultations, meetings, and appointments with lawyers.
12. Maintain a high level of client service, ensuring clients feel valued and supported throughout their visit or interaction with the firm.
13. Manage client intake, ensuring necessary documentation is completed and all information is accurate.
Team Support:
14. Provide administrative support to other departments within the firm as needed.
15. Coordinate with legal assistants and paralegals to ensure smooth office operations.
16. Assist with the preparation of legal documents, forms, and reports as required.
17. Perform other ad-hoc duties as assigned by office management.
Skills & Experience:
18. Previous experience as a receptionist or in an administrative role, preferably in a legal or professional services environment.
19. Excellent communication skills, both written and verbal, with the ability to engage with clients and colleagues at all levels.
20. Strong organisational and time management skills, with the ability to prioritise tasks in a busy environment.
21. Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
22. Ability to maintain confidentiality and handle sensitive information with discretion.
23. A friendly, approachable, and professional attitude, with a strong customer service focus.
24. A team player with a positive and proactive approach to work.
