We are seeking a Senior School Administrator to provide efficient and effective management of the Head of Senior School's Office, providing confidential administrative support to the Head of Senior School and other members of the Senior School Leadership team.
The ideal candidate will have excellent IT skills, highly developed administrative skills, and the ability to work proactively and reactively in a fast-paced environment.
Main Responsibilities:
1. Administrative Responsibilities:
* Provide confidential administrative support in relation to correspondence and records, including electronic and manual filing systems.
* Manage all diary appointments for the Head of Senior School.
* Service key meetings, producing agendas and papers and ensuring that actions are noted.
* Manage all calls and field these as appropriate, assist with correspondence and organise travel arrangements.
* Manage pupil achievement processes led by the Head of Senior School, including Senior School assemblies.
2. Administration of Senior School Systems, Processes and Events:
* Manage the planning of annual events in Senior School, liaising with relevant stakeholders.
* Check and sign off Senior School entries for the Parent Digest.
* Liaise with HR to set up dates for long-term planning of interviews with the Head of Senior School.
* Liaise with the Admissions Team to establish a timeline for SS Admissions.
* Maintain excellent communication with members of the Senior School community.
* Develop and maintain good relationships and effective communications with all stakeholders.
* Align all processes with those used by the Pupil Support Admin Team and other admin functions in the Senior School.
* Carry out any other duties as directed by the Head of Senior School or Pupil Support Admin Team Leader.
3. Duties specific to other members of the Senior School Leadership Team:
* Manage planning documents for Charities Day, ensuring that all stakeholders know where they need to be and what they will contribute.
4. Collaborative Administration responsibilities:
* Work with other administrative colleagues to ensure the smooth running of the Head of Senior School's office.
* Provide dedicated admin support to members of the Senior School Leadership Team who are undertaking specific and time-limited development projects.
5. Ideal Candidate:
* A proven administration or business administration qualification.
* Excellent IT skills, including Microsoft and Google packages.
* Proven track record of building and maintaining positive relationships with stakeholders.
* Ability to work under pressure, completing work on time and to a high standard.
* Experience of working with sensitive information.
* Excellent oral and written communication skills.
* Excellent organisation, planning and time management skills.
* Customer focused approach with previous customer service experience.
* Accurate with a high level of attention to detail.
* Strong team working approach.
* Positive and amenable disposition.
* Ability to show discretion and sensitivity.
* Self-motivated with the ability to work on own initiative to tight deadlines.
Package Description:
Location: George Watson's College, Edinburgh
Contract Type: Permanent, 36.25 hours per week, term time only plus two weeks during school holiday periods.
Salary: £29,807 - £35,300 per annum, based on 36.25 hours and 52 weeks.
