Our client is seeking a motivated and organised Temporary Events Assistant to support their event planning team. This is a fantastic opportunity for someone who thrives in a fast-paced setting and enjoys multi-tasking.\n\nJob Title: Temporary Events Assistant\n\nContract Type: Temporary\n\nIndustry: Property launch events company\n\nWorking Pattern: 3/4 days a week - non working day is Friday\n\nStart Date: Tuesday 6th May 2025\n\nPay rate: £15.00 per hour\n\nDuration: ongoing until the end of this year\n\nLocation: Oxford Circus \n\nGuest List Coordination.\n\nIn this role, you will be the backbone of our event guest management.\n\nYour responsibilities will include:\n\nManaging high volumes of email responses and maintaining clear communication with guests.\nCreating and maintaining event guest lists using Word and notepad, ensuring accuracy in attendance records.\nPrinting and editing Excel spreadsheets, including adding and removing guest data as necessary.\nFiltering and organising data in Excel and Word documents to streamline guest management.\nChasing up guests who have not responded via email and occasionally via phone for follow-ups.\nSending reminder emails to guests to ensure high turnout for events.\nUtilising Word and Excel to track event attendance and manage event turnouts effectively.\nPerforming mail merges for efficient communication.\nMulti-tasking between various administrative tasks while ensuring attention to detail.
\n\nEvent Planning and Logistics\n You will play a crucial role in the preparation and execution of events by:\n\nOrdering gifts for events online and occasionally picking them up in-store.\nOrganising and packing materials in preparation for events to ensure everything runs smoothly. \n\nOffice Administration\n To support our team effectively, you will also be responsible for:\n\nPlacing orders for office supplies to maintain an efficient working environment.\nOccasionally making trips to the post office for sending or collecting orders.During periods of leave, you will step in to ensure continuity and support the team. Additional support can be arranged as needed to ensure smooth operations.\n\nWhat We Are Looking For\n\nStrong organisational skills and attention to detail.\nExcellent communication skills, both written and verbal.\nProficiency in Microsoft Office, particularly Excel and Word.\nAbility to manage multiple tasks and deadlines effectively.\nA proactive and positive attitude towards teamwork and collaboration.Join us in creating memorable events!
