JOB SUMMARY
We are looking to recruit a Property Manager to join our team at Vertus. Reporting to the General Manager, you will be responsible for the lease up & property management of Canary Wharf’s first discount market rent building located in Wood Wharf.
The Property Manager will ensure that residents (tenants) have the best rental experience and consistently deliver the highest levels of customer service.
Annual Salary: £37,000
Closing Date: 7th February 2025
MAIN RESPONSIBILITIES
Main Responsibilities:
1. Responding to website, portal and telephone leasing enquiries, managing the waiting list, and capturing source of enquiries.
2. Qualifying leads, confirming eligibility, and rent levels.
3. Booking and conducting viewings, obtaining any feedback where necessary.
4. Advise prospective residents of the customer journey and requirements.
5. Complete referencing for incoming residents.
6. Produce and send all legal documents to incoming residents I.E AST, ‘How to rent’ guide, ERC, EICR etc.
7. Conducting Right to Rent checks on prospective Residents.
8. Complying with GDPR requirements.
9. Ensuring all statutory requirements have been fulfilled prior to move in.
10. Property management for the duration of the tenancy.
11. Conducting tenancy reviews and renewals.
12. Conducting 6 monthly property visits.
13. Closely managing rent and utility arrears with the finance team.
14. Instruct solicitors to issue warning letters to tenants with rent overdue and to start court proceedings where required, prepare all necessary documentation.
15. Prepare Statutory Declaration and go in person to solicitors/ Court.
16. Take check in and check out meter readings for heating and send to EVINOX - Via manual update of the spreadsheet and update Tenant Shop.
17. Get final bill from ‘EVINOX’ for residents moving out and inform the resident of the charges.
18. Conducting the end of tenancy and unit turn processes including deposit dilapidations, I.E. placing the resident on notice, obtaining the damage report, raising relevant work orders and raising TDS deposit request.
19. Ensuring the units are ready for check in.
20. Ensuring the building and apartments meet all health & safety requirements including pre check in smoke alarm checks.
21. Day to Day resident and property management including scheduling in reactive maintenance requests.
22. Deal with the residents’ complaints.
23. Send reports and documents to Finance team for audit.
24. Right to rent checks (Monthly Audit).
25. HMO checks (Monthly audit).
26. Attend Quarterly resident engagement meeting.
27. Support the General Manager during any period of absences.
28. Carry out any other reasonable duties as requested from time to time by the General Manager.

Environmental Responsibilities
All Staff are required to follow the Canary Wharf Group plc (CWG) Environmental Policies for minimisation of waste and effective energy management as defined in the CWG Environmental Manual and associated documents.
Quality Management Responsibilities
All staff are required to comply with CWG Quality Management System requirements detailed within the Company Quality Manual & Policies, and to ensure that all Procedure; Plans and Forms within SharePoint are effectively implemented to meet the set ISO 9001 Quality Management Standard.
PERSON SPECIFICATION
1. Minimum of 1 year experience of working within property management is essential.
2. It would be highly desirable for the incumbent to be IRPM Level 2 and/or ARLA Level 3 qualified or working towards this.
3. A good overall education to ‘A’ Level / NVQ Level 3 or 4 standard or equivalent (to include English & Maths), together with strong IT skills.
4. An understanding of the principal aspects of legislation relating to the management of Residential Property Law is essential, together with a knowledge of Section 21 and Section 8 requirements.
5. Working knowledge of Health and Safety requirements and legislation.
6. Excellent communication skills coupled with a superior level of customer service with the ability to always remain calm and professional.
7. Willingness to undertake further training as required.
8. Ability to manage own time and multiple tasks effectively, working autonomously and using own initiative.
9. A good team player with the ability to form positive relationships with and between residents, staff, contractors, representatives of outside agencies and other Canary Wharf Group employees.
10. Willingness to be adaptable and to accept the evolution of the role as the estate develops.
