Job Title: Finance and Accounts Assistant – Lettings & Property Management

Job Summary:
We are seeking a diligent and analytical Finance and Accounts Assistant to manage bookkeeping and provide financial insights within our lettings and property management team. This role is integral to maintaining accurate financial records, preparing reports, and supporting decision-making for our portfolio of residential properties. The ideal candidate will have a solid foundation in accounting and financial analysis, with experience in property management being a "big bonus".
Key Responsibilities:
Bookkeeping and Financial Record-Keeping
1. Maintain accurate records of daily financial transactions, including rent payments, deposits, management fees, and other income and expenses related to the property portfolio.
2. Manage accounts payable and receivable, ensuring timely and accurate processing of invoices and rent payments.
3. Reconcile bank accounts and other financial accounts monthly, verifying all transactions and investigating discrepancies.
4. Prepare and maintain ledgers, trial balances, and assist with monthly and annual closing processes.
Financial Reporting and Analysis
1. Assist in the preparation of monthly, quarterly, and annual financial statements, focusing on revenue and expense tracking for each property.
2. Analyse financial data to monitor the financial health of the portfolio, identifying trends, variances, and opportunities for cost savings.
3. Support budgeting and forecasting efforts by preparing property-specific budgets and updating forecasts based on performance data.
4. Conduct ad hoc financial analyses as requested, such as rent yield analysis, cost-benefit studies, and profitability assessments for individual properties or the entire portfolio.
Compliance and Audit Support
1. Ensure compliance with relevant financial regulations and property management laws, particularly with regard to client monies and trust accounts.
2. Maintain up-to-date records for annual audits, assisting auditors and responding to audit inquiries.
3. Adhere to regulatory requirements, including Anti-Money Laundering (AML) guidelines and tax compliance for property transactions.
Collaboration with Property Management Team
1. Work closely with property managers to track property expenses, maintenance costs, and occupancy rates, ensuring alignment of financial and operational goals.
2. Liaise with external vendors, tenants, and clients as necessary to resolve billing inquiries and payment issues.
Qualifications and Skills:
1. Education: Minimum AAT Level 3 or equivalent in Finance/Accounting; additional financial analysis training is a plus.
2. Experience: At least 2 years of bookkeeping and financial analysis experience, preferably in the property management or real estate sector.
3. Technical Skills: Proficiency in accounting software (e.g., QuickBooks, Xero, or property-specific software) and Excel, including financial modeling and data analysis.
4. Attention to Detail: Ability to maintain accuracy and compliance in all financial records.
5. Analytical Skills: Strong ability to interpret financial data, identify trends, and support decision-making with actionable insights.
6. Communication Skills: Effective communication to report findings clearly to both finance and non-finance stakeholders.
7. Knowledge of Property Sector: Understanding of lettings and property management finance, including rent tracking, service charges, and property-related expenses, is preferred.
