Each year our projects and programmes reach over 100 million people facing poverty, inequality and insecurity with information they can trust, helping to improve health, bridge divides, challenge prejudice, and save and change lives. With new funding from the UK government and the European Union, we are launching two linked projects aiming to better improve the resilience of media ecosystems worldwide, contributing to protecting and promoting democracy, human rights and fundamental freedoms and counter mis- and disinformation. The projects will operate across around twenty countries and involve more than a dozen global, regional and local media development partners as well as dozens of national and local media organisations. The projects will be led by a central team, the Global media development team, with some positions working across both projects. Job Purpose The Finance and Admin Co-ordinator will contribute to the effectiveness and impact of the Global media development team by supporting the Senior Finance and Operations Manager to ensure sound financial, grant management, and administrative practices across the two projects. The post holder will work with other members of the project team, with finance staff across country offices and with project consortium partners, as well as the wider cross-country finance team. The role will report into the Senior Finance and Operations Manager and work closely alongside the Partnerships, Compliance and Due Diligence Manager. Main Responsibilities General Team Finance: Monitor and track invoices received in the Global media development team and ensure they are processed promptly and accurately. Track and reconcile consultants' invoices. Support Senior Finance and Operations Manager in the budgeting and forecasting process. Collate and review timesheets for all staff working across Global media development projects. Check reports for financial accuracy and proper coding of expenses in line with relevant systems and procedures. Support with the delivery of financial and compliance training to project teams and partners. Project Finance : Ensure project budgets are up to date, accurate and available to all. Liaise with and provide support to BBC Media Action country office finance staff in relation to recording expenditure, project financial reporting and forecasting. Assist in compiling donor financial reports, including preparation of supporting documentation. Support the Senior Finance and Operations Manager in the set-up of project budgets. Track donor income. Review expenditure to ensure compliance with donor guidelines. Provide support on project audits, including preparation of audit file. Partner Finance: Receive and review consortium partner financial reports to ensure financial monitoring is up to date and correctly documented. Work closely with the Partnerships, Compliance and Due Diligence Manager to assess partner compliance, including reviewing supporting documentation. Support with reviewing and processing partner payment requests. Support the Senior Finance and Operations Manager in evaluating partner capacities and establishing support measures. Administrative support: Support the Global media development team with project related procurement. Ensuring accurate and up-to-date filing and storage of Global media development projects team related documents. Assist with preparation, planning and arrangement of project related meetings, events or activities, including travel and logistical support. Are you the right candidate? Organised with ability to prioritise own workload effectively, to coordinate activities and conflicting demands to ensure that tight deadlines are met. Experience of working in the charity sector and knowledge of donor funding. Effective communication skills with the ability to work well with range of people at all levels. Meticulous attention to detail, particularly in regards of financial data management Proficient computer skills with strong experience of office software packages and experience of finance packages(i.e. Word, Excel and PowerPoint.). Ability to use own initiative with minimal supervision and deal with routine queries as they arise, escalating to others as necessary. Experience of reviewing project financial reports and reconciling financial data. Desirable skills, knowledge, and experience: Relevant finance qualification. Experience of SAP and/or Access Dimensions. Familiarity with FCDO or EC funding and compliance requirements (ideally both).
