Job Description
We are looking for a subject matter expert in the Tradeshow/Exhibit Services industry to lead our project teams as the Director of Project Management. We are entering an exciting new chapter in our journey, with 2025 poised to be a year of significant growth and transformation.
In this role, you will play a critical role in maintaining clear communication with the leadership team, staff, and all internal and external connections related to our client projects. This is a great opportunity to join a family-owned organization with a promising future!
To perform this job successfully, an individual must be willing to travel 25% and be able to perform each essential duty:
Project Management
* Lead and oversee the process for all pre-show, transition and post-show planning. This includes:
o Enter exhibit design orders, bill of material, construction print request orders, setup/installation print request orders, and graphic design orders in company software for tracking.
o Estimate new and existing business construction. Determine the required services for exhibit and manage the install and dismantle calendar.
o Consult with Client Services, Show Services, Design and Exhibit Engineers, Production, and Show Site Supervisor on project planning.
o Conduct/attend transition meetings with client services manager ensuring requested properties and services are estimated and tracked on project spreadsheet.
o Create project lists, shipping lists, bills-of-lading and truck layout for shipping.
o Actively participate in meetings with the necessary departments to ensure proper ordering, required field services, AV requirements, and project timelines.
o Participate in a pre-ship meeting with the client services department.
o Travel to and supervise the installation of exhibits at show site as needed.
Show Services and Logistics
* Lead and oversee the process for all pre-show, transition, post-show planning, logistics and administrative areas. This includes:
o Consult with Director of Field Services regarding show assignments update schedules accordingly, distribute to team.
o Process and print show kit sheets once received from Client Services Manager.
o Enter in to Syteline ERP each show kit sheet, ensuring accuracy as defined by the logistics specialist.
o Ensure all services and freight are entered into Syteline ERP within the three allotted days timeframe.
o Syteline ERP is used to track client costs associated with each service ordered, in both the estimating stage and the final purchase order receiving stage before the job is closed.
o Certificates of insurance are requested when needed and provided to show management along with RES and Labor House EAC.
o Booking travel for show site supervisor – 10 days prior to show travel date.
o Orders are sent to the appropriate vendor before the given deadline. Following up with all vendors to verify order accuracy.
o Maintain communication with internal departments, including show supervisors, project management, and the finance department to ensure that all service deadlines are met.
o Provide HR with all paperwork associated to Union Teamster Labor if show is in Las Vegas – time critical to avoid union grievances.
o Manage the weekly reconciliation of tradeshow expenses with company credit cards issued to the show services staff and, work with finance to validate entry in to Syteline ERP.
Team Leadership
* Assume the Project Manager and Show Services Manager role as needed.
* Align budget to projects and ensure processes and procedures are maintained.
* Attend client meetings; communicate with existing and prospective clients to interpret needs, problem solve and talk through foreseen issues, obtain approval on all project pricing to facilitate strong relationships.
* Proactively interact and communicate with Client Services, Sales, Creative Services, Construction and Warehouse; develop professional alliances and increase the business to benefit all who are involved in the process.
Sustainable Operations
* Identifies and implements ways to streamline and improve efficiency. Ensures processes are documented and standardized.
* Identifies the impact of technology on business processes to ensure that it is used to maximum advantage in enabling process analysis, decision-making and reporting. Involves employees when implementing new technology and ensures they receive necessary training and follow-through.
* Considers impact of improvements on all management functions when developing plans and implementing changes.
Education and Experience
Bachelor’s degree in Business or other relevant discipline preferred.
Minimum 10 years of exhibit design/delivery Project Management experience in an entrepreneurial company.

Additional Information
The U.S. base salary range for this full-time position is $100,000 - $125,000 annually, and individual pay is determined based on several factors, including, but not limited to, work experience, job knowledge, complexity of the role, job location, etc. Pay ranges included in postings generally reflect base salary; certain positions may include bonus, commission, or additional benefits.
