Join the Team as a Depot Delivery Administrative Assistant Reporting into; Head of Customer Service Delivery Contract; Permanent Location; Wakefield Hours; 25 hours per week (hours to be confirmed) Salary; £18,622.34 per annum About the role: In this exciting role you will be providing support to the Service Delivery Management teams in all aspects of day to day management and organisation of the depots. Providing administrative support and taking responsibility for the facilities management at the local depot offices and signing on points. What You’ll Do: Administrative Responsibilities Provide general assistance in smooth operation of traincrew depot and management/Customer Relations office. Development and implementation of efficient office systems and equipment maintenance Provision of comprehensive administrative support service to include, scanning, filing, creation of documentation, letters and reports as directed by the management team. Raising and managing purchase orders across the operational teams to the agreed levels set out by the finance team. Take notes and actions for meetings as required by the service delivery teams. Organise, maintain records and provide parking permits, Cab passes and ID cards to depot traincrew/other areas of the business Support the Safety and management teams in ensuing that competence files are updated with necessary signatory’s Provide administrative support to Customer relations team, using the appropriate systems answer general email enquiries from customers, resolve customer complaints via email or web form and issuing charter compensation as per company guidelines Facilitates & Traincrew Support Manage the local traincrew accommodation and facilities along with ensuring local staff equipment and information requirements are met Be the first point of contact for anyone attending the management office, depot or SOP Organising incoming and outgoing post using the franking machine and managing deliveries Take receipt of deliveries to the management office, depot or SOP Ensure that meeting rooms are presented to the required standard Maintenance and management of stock levels for traincrew equipment, stationary, tea, coffee. Ensure reservations machines are in working order and arrange appropriate support to fix any issues Arrange appropriate audit checks as required e.g. annual fire extinguisher testing, PAT testing, franking machine. Provision of uniform and essential items to traincrew.
