Internal Redeployment Only - Assistant Recruitment Events Officer To provide comprehensive and professional support to the Student Recruitment Events team and wider Student Recruitment team. To assist with planning, organising and delivering a range of key recruitment events and activities aimed at prospective students, both on campus and virtually. In addition, the post holder will be required to represent the University at external recruitment events, which will require travel across the UK and overnight stays. The post is full-time (35 hours per week) and open ended. Salary: £27,644 - £30,805 per annum (Grade 4). This role is eligible to be offered on a blended working basis, meaning that as well as spending time working on campus, you may spend some time working from another location, e.g. your home. Key Duties Undertake a variety of duties to support the Undergraduate Recruitment Events team in the development, organisation and delivery of both on-campus and virtual recruitment events, including large-scale open days, campus tours and school campus visits. Provide administrative support to these events and wider department projects, where required. Establish excellent working relationships and communication links with key stakeholders, both internally and externally, to help improve service levels and to facilitate the smooth running of student recruitment events and services. Collaborate with others to make recommendations for the development of established processes and procedures. Develop a sound knowledge of the Gecko events and enquiry system to use for events and to support the UK enquiries team when required. Monitor market intelligence and competitor activity. Gather, analyse and interpret data to inform decisions, establishing basic trends and patterns in data, and creating reports as appropriate. When called upon, provide detailed information, advice and guidance on a range of undergraduate recruitment issues, to both internal and external stakeholders, using judgement to suggest the most appropriate course of action. This may include supporting colleagues across the University in relation to student recruitment/ event management, or providing prospective students with information on degree programmes, entry requirements, the UCAS process and funding. Represent the University in person and online, at events on campus and at schools, colleges and higher education exhibitions across the UK. This element of the work will involve travel throughout the UK, including overnight stays and out-of-hours working. When called upon, oversee the Schools’ email inbox, responding to enquiries from Schools and Colleges. Contribute to the development and delivery of presentations/workshops for use in schools and colleges, in addition to events on campus. Supervise casual student support used in recruitment operations, including office administrative tasks, open day events and campus tours. Additional Information The role will require a flexible approach to working hours, including out-of-hours working and some weekend working. It will also involve working at a storage facility currently in Maindy Road, and some lone working. There will be an element of manual handling in terms of event set up/breakdown, as well as the preparation and distribution of materials for events and mailings. As well as events on campus, the role will also involve travel around the UK, representing the University at a range of external events, 20-35 visits between September and July (this may include overnight stays). In addition, the successful candidate will participate in virtual events. It will not normally be possible to take annual leave close to, or on, days when open days take place nor during the Confirmation and Clearing period during August. A satisfactory Disclosure Barring Service (DBS) check will be required on appointment. About the Department The Communications and Marketing Department is responsible for the University’s reputation and branding as well as UK/International student recruitment operations. It covers six areas: communications, marketing, student recruitment, digital communications, international and public affairs. Communications plays an important part in building and maintaining the reputation of the University through effective communication to the public and to external and internal stakeholders. It communicates the achievements and aspirations of the University through a variety of media and includes a film unit. The team represents the University on a corporate level. Digital Communications is responsible for the design, development and content of the external website and the intranet. Marketing is responsible for developing a strong brand identity for the University at the corporate level, with an emphasis on better visual branding and market research. Student recruitment plays an important role in attracting the University's undergraduate and postgraduate students from throughout the UK and Internationally, working in partnership with the University’s colleges and academic schools to recruit higher calibre students. The team also manages the University’s widening participation programmes and the School’s Partnership Project. The International Office drives the University’s international recruitment strategy and advises on all areas related to international recruitment and development. Public affairs leads on stakeholder relationships locally, nationally and internationally. Essential Criteria Qualifications and Education NVQ level 3 / A levels or equivalent. Knowledge, Skills and Experience Experience of working in an events/administrative role, with proficiency in using common Office IT packages (eg MS Office). Understanding of the current issues within higher education. A full, valid UK/ EU driving licence Customer Service, Communication and Team Working Ability to communicate (both in writing and orally) specialist and complex information effectively and professionally to a range of people, with varying levels of understanding. Ability to advise and influence key stakeholders. Evidence of ability to explore customers’ needs and adapt the service accordingly, to ensure a quality service is delivered. Planning, Analysis and Problem solving Ability to set up standard office systems and procedures, to analyse existing processes and make improvements, as appropriate. Evidence of ability to solve problems using initiative and creativity: to identify and propose practical solutions. Evidence of ability to work as part of a team, whilst also being able to work unsupervised to deadlines (planning and setting priorities for own work), with high levels of attention to detail. Desirable Criteria Experience of working in events and/ or project management. Degree or an equivalent qualification or equivalent work related experience. Experience of working in a higher education environment. Experience of working with young people. Fluency in Welsh (both written and oral).
