Job Title: QHSE and Projects Coordinator (entry level)

Position Summary:
We are looking for an enthusiastic and motivated QHSE and Projects Coordinator to support our Project Managers and QHSE team in delivering projects while ensuring compliance with quality, health, safety, and environmental standards. Key Responsibilities:
Under the guidance and supervision of senior team members, the Junior/Trainee QHSE and Projects Coordinator will learn to:
Project Support:
* Assist Project Managers by ordering materials and plant equipment for projects.
* Coordinate basic travel and accommodation arrangements for project teams.
* Help close out projects in the CRM system, ensuring that all documentation is correctly archived.
* Assist in the completion of and filing and submission of project documents.
Data Analysis & Reporting:
* Support in the preparation of weekly, monthly, quarterly, and annual reports, learning to compile and analyse KPI metrics for management.
Incident Management:
* Log accident and incident reports in the QHSE system with close supervision.
* Track and assist in following up on assigned corrective actions, escalating delays when necessary.
Audits:
* Participate in site audits under supervision to ensure compliance with safety and quality standards.
* Help record audit findings and develop reporting skills to document findings and recommend actions.
COSHH (Control of Substances Hazardous to Health):
* Learn to maintain the COSHH database, ensuring hazardous substances are recorded and accessible.
* Assist in monitoring COSHH compliance and providing support to relevant personnel.
Document Control:
* Help manage the Company Documents Database, ensuring policies, procedures, and guidelines are up-to-date and archived appropriately.
Subcontractor Management:
* Administer subcontractor pre-qualification questionnaires under guidance, ensuring all third-party vendors meet company standards.
Training Coordination:
* Support the booking and management of employee training sessions with external providers.
* Help track training certifications, renewals, and compliance records.
Meeting Management:
* Record meeting minutes under supervision, logging and tracking actions in the QHSE system.
* Follow up on action items with guidance to ensure timely completion.
Temporary Works:
* Log scaffold inspections and off-hire records, ensuring accurate and up-to-date documentation.
RAMS (Risk Assessment and Method Statements):
* Learn to assist in drafting RAMS for small works, ensuring they meet regulatory and company standards.
* Help close out RAMS records for completed projects.
Quality Management System (QMS):
* Assist in updating and maintaining the document control system to align with QMS requirements.
* Participate in basic internal audits under supervision.
Environmental Responsibilities:
* Support waste management practices, including disposal, recycling, and tracking, through the Nationwide Waste Management Services portal.
* Assist in the implementation of sustainability initiatives, such as energy reduction plans and environmentally friendly practices.
Additional Responsibilities:
* Develop skills in designing and implementing forms for data collection and reporting.
* Help log and archive project documentation, including RAMS, Toolbox Talks, Permits, and other records.
Training and Development:
This role includes a structured training program, providing both internal and external development opportunities. Training will cover:
* Internal QHSE and Project Coordination Training: Instruction on company-specific systems, including CRM, QHSE databases, and document control procedures.
* External QHSE Certification: Opportunity to achieve relevant certifications (e.g., NEBOSH, IOSH).
* Soft Skills Training: Development in communication, time-management, and problem-solving.
* Hands-On Experience: Mentorship and shadowing senior team members on-site audits, incident management, and compliance reporting.
