Senior Personal Assistant Job ID 205245 Posted 17-Mar-2025 Service line Advisory Segment Role type Full-time Areas of Interest Administrative Location(s) London - England - United Kingdom of Great Britain and Northern Ireland Role Purpose To provide highly efficient PA support to the Out of Town Retail Agency & Retail Investment Properties Teams. The 2 teams work as an integrated function currently comprising 16 fee earners and forms part the wider Retail department. The role requires Senior PA support to the 2 respective Team Heads plus Team PA support to the other fee earners, ranging in seniority. From time to time, the role may be required to assist other members of the Retail department. Key Responsibilities -Providing personal diary management of 2 team heads to optimise their time and efficiency -Provide "gate keeper" support, identifying key priorities and actions required to respond to senior external and internal stakeholders -Manage confidential information both external and internal -Establish good working relationship with Senior PA's of key clients and internal executive leadership team -Full management of email filing -Understand Team's key business priorities -Arrange internal team meetings both onsite and offsite -Liaising with travel company to book travel and hotel accommodation -Processing expense claims -Using CBRE's finance systems to raise new projects and fee invoices -Formatting of PowerPoint presentation for internal events and client pitches to high standard -Organising key team client events (presentations meetings, dinners). -Amending and formatting client reports via Microsoft Word to high standard -Support Team maintain up to date client lists (filed in ClientIQ) and maintain pitch schedule -Collation and distribution of external client publications -Carrying out conflict of interest checks and anti -money laundering checks -Form good working relationship with other Team PAs to provide wider support to Retail Department where required Person Specification/Requirements -5 years' PA experience. -Excellent organisational skills and great attention to detail. -Ability to prioritise and manage workload. -Excellent communication skills - both written and verbal. -Advanced IT skills (Word, Excel, MS Outlook and PowerPoint). -Ability to work autonomously and as a part of a wider team. -Discretion and sensitivity around confidentiality. -Adaptable - Able to manage the team's changing priorities.
