Role Description
The purpose of this role is to provide full PA support to the CRO to ensure they are prepared and organised accordingly to deliver their business objectives. The role will also involve working closely with and, where appropriate, supporting additional management in their Team, internal clients including other Allianz OEs and external parties.
Key Accountabilities
1. Manages the CRO’s diary ensuring all meetings are scheduled, travel logistics arranged and corporate planning timescales are met.
2. Provides full administrative support to the CRO and support for other Senior Managers in the absence of their PAs to ensure work is covered appropriately.
3. Anticipates and fulfils the needs and requirements for meetings and conferences (including webinars etc).
4. Ensures key meeting reports, minutes, slide packs/meeting papers, action updates and presentations are completed and issued in good time.
5. Handles confidential data on behalf of the Board Member in a sensitive manner.
6. Ensures that the Team meets the regulatory requirements in all aspects including the Gifts and Hospitality Register.
7. Prepares and processes invoices for authorisation.
8. Gathers, prepares and submits expense claims on behalf of the Board Member.
9. Drives and ensures that communications from the Board Member (blogs, intranet content, including organisation charts and distribution lists) are always kept up-to-date.
10. Co-ordinates the PA Network to act as a central hub for information to help deliver an optimal front-facing service.
11. May mentor or coach new PAs as well as help recruit for PA vacancies.
Skills and Experience
1. Able to shorthand/speed write is important.
2. Effective communication and organisation skills.
3. Demonstrates effective influencing and collaborating skills.
4. Ability to delegate in the absence of the Board Member.
5. Proven PA experience at an Executive level within a financial services organisation.
6. Experience of working with various electronic systems and reporting tools.
7. Proven track record of showcasing excellent organisational, communication and prioritisation skills.
Qualifications
1. GCSE level grades or equivalent including Maths and English as subjects.
