Overview:
We are seeking a proactive and detail-oriented Customer Service Assistant to join a growing organisation in the advanced manufacturing sector, supporting both commercial and service functions. This is a key role ensuring accurate order processing, strong communication with clients, and internal alignment between sales, service, and operations teams.
The successful candidate will be at the centre of customer engagement, responsible for processing complex orders for industrial equipment and spare parts, managing shipment logistics, and maintaining high data quality within CRM and ERP systems.
Key Responsibilities:
* Ensure all customer and service-related data is accurately entered and maintained in CRM systems (Salesforce)
* Process incoming sales orders for machinery and spare parts, ensuring technical specifications and delivery terms are correct
* Coordinate machine shipments and ensure customers receive fully equipped systems on time
* Work closely with the accounting team to assist with invoicing
* Support sales and service teams with ongoing customer account management
* Collaborate with cross-functional departments (technical, logistics, HQ teams) to ensure smooth order fulfilment
* Maintain clear, consistent communication with customers regarding order progress and changes
* Proactively update documentation, customer records, and order status within internal systems
* Support continuous improvement by identifying opportunities to streamline order and customer service processes
What We're Looking For:
* Strong attention to detail and problem-solving ability
* Excellent written and verbal communication skills
* Able to manage multiple priorities with a sense of urgency
* Customer-first mindset – able to create a positive and reliable experience
* Proficient in CRM (Salesforce preferred), ERP tools, Google Workspace, and Microsoft Excel
* Previous experience in customer service, order management, logistics, or admin support (including internships or student roles)
* Self-starter with a genuine desire to contribute to business success
* Based in or around the Cheltenham area
Desirable But Not Essential:
* Experience working in or alongside technical manufacturing or engineering businesses
* Familiarity with spare parts, production equipment, or capital machinery orders
* Ability to speak additional languages is a plus
