Events Assistant
We are seeking an Events Assistant to provide support to the events team, acting as the first point of contact for all enquiries and coordinating all events bookings.

Salary: £23,000 - £25,000 (DOE)
Working Hours: Monday - Friday, 9AM - 5PM
Location: Didcot, hybrid working
As the Events Assistant, you will be responsible for:
1. Acting as the first point of contact for all events enquiries, ensuring all correspondence is managed effectively, professionally and in a timely manner.
2. Processing all event bookings, ensuring delegate information is complete and accurate. Processing invoices and credit notes, scanning and filing booking forms, and sending written confirmation.
3. Ensuring all event information is kept up to date and that all activity for each event is recorded on the relevant database.
4. Assisting with exhibitor liaison before the exhibitions to ensure all exhibitors are booked and processed, and that they have completed all associated documents required to exhibit at the event.
5. Assisting with event preparations including the production of badges, mail merges, and gathering of all materials to go to the event.
6. Assisting with all team-specific office administration duties such as post, booking meeting rooms, minute taking, events diary management, and booking travel and accommodation.
7. Liaising with appropriate suppliers to obtain quotes and turnaround times for design work, print costs, mailing services, AV support, analyzing costs, and making recommendations for the best supplier to use.
8. Assisting in the distribution of promotional materials including e-shots, brochures, flyers, website and social media updates as appropriate.
9. Assisting with post-event follow up including processing feedback forms and reorganizing materials and literature upon return from an event.
10. Attending events as required, including event setup and breakdown and meeting, greeting, and registering delegates.
The Events Assistant will have the following related skills / experience:
1. The ability to work as part of a team, support colleagues, and promote excellent team spirit.
2. Effective and accurate written, verbal, and electronic communication skills.
3. Strong administrative, organisational, and time management skills.
4. An eye for detail with the ability to multi-task, work well under pressure, and within a small team.
5. Excellent IT literacy, with demonstrable knowledge of Outlook, Word, Excel, and Mail Merge.
6. Educated to GCSE standard.
7. Prepared to travel for external meetings & events, with a willingness to be flexible on hours if necessary.
8. A driver’s licence is essential with own transport due to the office location.
