Dental Treatment Coordinator Job Description
About us:
The Smiles Studio is a state of the art dental practice offering bespoke treatments such as implants, fixed and removable orthodontics, Smilefast makeovers and dermal fillers. Offering treatments on both a Private and NHS basis, our goal is to provide world class affordable options. We are a family owned business with two practices, one in Chandlers Ford and one in Lymington. The mission of our team is to treat our patients as we would treat a member of our own family.
Job description:
As a Treatment Coordinator (TCO), you will be the main point of contact for all patient enquiries and, after successfully booking patients, you will be responsible for supporting them through their entire treatment journey. Working alongside our principal dentist, you will book implant consultations, explain treatments and answer any questions the patient may have, send welcome emails, consent forms, leaflets and provide payment plan options. You will also be expected to follow up all other leads and promote our Practice Plan scheme.
You may be asked to cover reception in the event of staff sickness. Training will be provided as well as regular continuous professional development opportunities.
Summary of job role:
* Responding to emails sent by patients from our website or social media channels
* Calling patients who contact us via telephone
* Liaising with internal customers who require TCO
* Arranging consultations for patients as soon as possible
* Taking the patient through the patient WOW journey
* Explaining different treatments to patients
* Digital photography
* Showing our previous work to help patients understand treatments
* Working closely with nurses and clinicians to allow perfect handover of patients through all stages
* Going through treatment consent forms
* Arranging finance options for patients
* Acquiring video and written testimonials from patients with consent
* Getting patients to sign up to our other non-dental consultants
* Following up on patients who have not yet signed up for treatment
* Reporting on the number of enquiries and the conversion rates
* Arranging practice open days to promote certain treatments
* Reporting on where our patients come from
* Running quarterly offers
* Work alongside our marketing team to ensure our social media, newsletters and advertisements are up to date and reaching a wider audience.
The ideal candidate will have:
* Excellent communication skills – your success will be determined by your ability to communicate effectively with patients, team members and outside contractors. In order to succeed you will need to master the ability to build rapport with patients and motivate and inspire team members.
* Organisational skills – you will be responsible for managing your own diary as well as carrying out other regular tasks.
* Creativity – supporting the marketing team, you will monitor which platforms are resulting in the most bookings and offer suggestions for which treatments require more focus, as well as coming up with ideas based on what has been working and what hasn’t.
* Resourcefulness – you will be expected to make the most of the materials you will be working with.
* Attention to detail – communication with patients, as well as marketing materials and emails must be thorough, well-written and informative. Professionalism is key and will be evident throughout all correspondence with patients and the rest of the team. Your work will be a reflection of us as a practice and so attention to detail is therefore essential.
* Self-motivated – as a TCO, you will frequently have to change your working style to suit the needs of the industry and be willing to constantly grow and learn. This will include researching, attending courses and seminars, going to peer meetings and doing everything possible to stay ahead in the field.
* Leadership – you will be responsible for executing several systems and training others to follow and adhere to them also. You may eventually be requested to roll out the TCO role in our other practice, which requires demonstrating leadership skills.
