Role: Administrator - Temporary - Belfast Job Overview VANRATH are excited to support a returning client, in the professional services sector who are seeking an experienced Administrator to join the organisation and execute the duties within the Chief Executive's office. Salary: £22,000 - £27,500 Belfast Temporary - with potential view to permanent Key Responsibilities: Provide general administrative assistance, ensuring efficient completion of tasks assigned by senior staff within the office. Coordinate and manage complex schedules, arranging meetings and preparing meeting spaces, ensuring all logistics are handled with professionalism. Act as the main point of contact for queries and correspondence, responding promptly and effectively. Organise and book travel and accommodation, preparing detailed itineraries to ensure smooth travel arrangements for senior team members. Assist with preparing and distributing meeting agendas, recording attendance, managing meeting spaces, processing expenses, and following up on any correspondence. Assist in implementing and maintaining office policies and procedures, ensuring adherence to internal and external service standards. Oversee the creation, updating, and organisation of both physical and electronic documents, ensuring an efficient filing and retrieval system. Essential Criteria: Five GCSEs (or equivalent) at grade C or above, including English and Maths; A-Level education (or equivalent). Experience as an Administrative Assistant in a fast-paced environment, supporting senior management. Proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint) and AV platforms (Zoom, Microsoft Teams). Strong knowledge of document and correspondence management, including agendas, papers, follow-ups, and record-keeping. Experience handling sensitive and confidential information with discretion. Strong organisational, interpersonal, and communication skills. Ability to work under pressure, meet deadlines, and maintain accuracy. Desirable Criteria: Experience prioritising workloads and adjusting schedules in an administrative or secretarial role. Familiarity with software such as One Advanced (Decision Time) and OneDrive. Experience in audio or digital dictation typing. Knowledge of maintaining and improving digital and physical records.
