Our People Assistant has full administrative responsibility for the entire employee life cycle from recruitment to offboarding across our food manufacturing sites in Otford, Kent and Wincanton, Somerset. They also help advise managers on best practice people management and engagement practices, escalating when required to the People & Engagement Lead. This role is based in Otford. This role can be worked from home 3 days each fortnight. With very strong administrative and interpersonal skills, the successful candidate will proactively develop relationships with our Managers, whilst having a keen eye for administrative detail. The successful candidate will Administer all new starter paperwork and prepare contracts of employment Process administrative changes to contracts and changes to pay Administer our holiday booking & HRIS system Manage the right to work process and associated internal audit process Administer recruitment advertising and careers website Maintain a candidate bank of great candidates to tap into as and when required Manage the communication of benefits e.g. private GP service, EAP, pension Monitor our Whistleblowing line Administer our annual pay review process Facilitate our annual team survey Administer training courses on an ad-hoc basis Organise occupational health annual worker assessments Organise events on an ad-hoc basis, involving other members of the team as required This is a brilliant development opportunity for the right person to develop into an advisory role. In time, there would be the opportunity to Be a first port of call for People queries from line managers, escalating issues as required, ensuring that our Jardox culture is fostered. Provide advice and assistance on policies, procedures and adherence to legislation Advise on disciplinary and grievance matters, coaching line managers as required Answer ad-hoc queries from team members and be an ear when needed, encouraging them to speak to their line manager as appropriate Champion wellbeing and mental health awareness, signposting the team as appropriate Identify development needs Advise managers on recruitment and selection strategies, ensuring that our employer brand is nurtured Telephone screen for warehouse and factory roles alongside salaried roles on an ad-hoc basis Own the onboarding and organisation of all inductions, ensuring that successful candidates are kept warm in the run-up to their start dates Answer payroll queries, escalating as required Ensure that our probationary periods are managed appropriately Conduct maternity risk assessments and flexible working request meetings Facilitate leaver exit interviews, escalating observed trends as required Strive to better our engagement strategies, particularly with the warehouse and factory teams Facilitate idea generation from the team regarding engagement Assist People & Engagement Lead with project work Provide holiday cover for People & Engagement Lead You will have A keen eye for detail across communications to individual employees Amazing organisational skills A confidential and trustworthy working style A good understanding of Excel and experience working with an HRIS system The confidence to know when to escalate a People issue Excellent time management skills, effectively planning the week and month ahead Solid decision making skills, checking with our legal team or People & Engagement Lead as appropriate, with the confidence to suggest solutions to problems Great intuition for what is the right thing to do With our long-term vision, we reinvest our profits to ensure sustainable success for the future.
