About The Role Working Hours: Wednesday, Thursday, Friday either 07:00 - 15:00 or 07:30 - 15:30 Your main aim will be to provide efficient and professional reception and administration support to a customer site contract. You’ll be the first point of contact for all visitors to this prestigious site, you will undertake; meet and greet, process paperwork, update systems and file documentation. You’ll also ensure that a professional, corporate image is maintained through effective communication, liaising with customers and colleagues in an efficient manner both by telephone and in writing. This is a part time job share, however, there will be a requirement for the successful candidate to cover for annual holidays and sickness of the reception team in general. As part of your role, your key responsibilities will include, but are not limited to: Greet and direct visitors, ensuring they feel welcome and are assisted promptly. Provide them with necessary information or direct them to the appropriate person or department. Answer and transfer phone calls efficiently, taking messages when necessary and ensuring accurate communication. Handle incoming and outgoing mail and packages, sorting and distributing them to the correct recipients. Schedule appointments and maintain calendars, coordinating meeting rooms and ensuring all arrangements are in place. Provide general administrative support to the team, including filing, data entry, and managing office supplies. Maintain a tidy and presentable reception area, ensuring it reflects the professional image of the company. Assist with data entry and record keeping as needed, ensuring accuracy and confidentiality. Ensure accurate and timely communication within the office, relaying messages and information promptly.
