Job Summary: Company: Cuffe and Taylor Department: Theatre Touring Location: Farringdon, London Reports to: Senior Vice President of Arts and Entertainment Working Hours: 40 hours per week with flexibility to work additional hours as required by the business Contract Type: Permanent Role Description The successful candidate will provide a high level of administrative support to the tour coordinators and promoters in the Theatre Touring department. Ability to work across multiple shows in a fast-paced environment is vital to the success of this role. The Promoter Assistant will be responsible for the general administration of building offers and tours for the departments. Effectively communicating and interfacing with people at all levels inside and outside the company and within the entertainment industry. Experience of working in an international business dealing with multiple countries and cultures and knowledge of the music industry would be a plus. Who you are Competencies / Skills / Knowledge / Experience - Proven admin or assistant experience - Knowledge of venue/general touring industry would be advantageous - Ability to work spreadsheets and databases - good working knowledge of MS Office - Ability to plan and organise own workload in a fast-paced environment - Good level of numeracy - Excellent written and verbal communication skills - Ability to establish and develop relationships within the entertainment industry - Understands relationship between agents, managers, artists, and overall value chain - Understands how the job/department fits into the wider goals of the business and the industry as a whole - Able to understand commercial priorities and highest value relationships Behaviours The following attributes determine how the role will be carried out and are required to be a success - Attention to detail - Respond to changing priorities and urgent situations with flexibility to adapt to different environments - Strong ability to work on own and use initiative - Confident and outgoing approach - Hands on approach - Good interpersonal, relationship management and negotiation skills What the role includes - Contacting venues for avails; managing holds, challenging dates, keeping records of what is held - Inputting data into budgets; having an understanding on breakevens and basic finances - Ensure artist/venue contracts and work permits are processed and filed in a timely manner. - Dealing with all incoming queries from internal departments (accounts, ticketing, marketing etc) and external contacts (agents, venues, PR etc. - On occasion you will be required to attend shows in evenings and on weekends - Managing holds, challenging dates, keeping records of what is held - Gathering venue and tour information to prepare accurate tour costings and budget templates - Confirming shows with stakeholders, sending, and updating tour itineraries - Updating and sending guest Lists - Updating reps with correct info - Dealing with all incoming queries from internal departments (accounts, ticketing, marketing etc) and external contacts (agents, venues, other promoters, etc) - Build both formal and informal professional relationships - Provides artist status reports and progress updates - Seeks artist feedback and ensures needs have been fully met - Updating and sending guest Lists - Updating reps with correct info. - Occasionally booking travel, hotels etc. and diary coordination. - Ensure prompt delivery of ticket links, artwork and deal memos to agents ahead of show announcements. - Provide support and cover for Tour Coordinators when required. - Additional duties as required by business needs and objectives - On occasion you will be required to attend shows in evenings and on weekends Equal Opportunities We are passionate and committed to our people and go beyond the rhetoric of diversity and inclusion.
