Senior Operations Administrator An exciting opportunity has arisen for a Senior Operations Administrator, to join a large-independent, family-owned business based in Mallusk. This is a Full-Time, permanent position Working hours: Tuesday - Saturday: 9am – 5pm Hybrid working: Office based three days per week (Saturday WFH) Salary negotiable – dependent on experience Essential Criteria: A commercially aware, proactive problem-solver with excellent communication and interpersonal skills and who can deal with customers and management at all levels in a constructive manner. Excellent analytical, administrative & I.T. skills including the Microsoft office suite (Word, Outlook and at least Intermediate Excel). Strong attention to detail, accurate, flexible, well-organised, self-motivated, capable of working under pressure & planning workload to meet tight deadlines. Ability to work on own initiative but also to consult where appropriate. Experience of automated logistics system an advantage. Main Duties and Responsibilities: Import of orders, incorporating Fuel net orders were applicable, transforming these orders into Integra orders, load planning and transmission of orders to the haulier. Order planning and management of all export orders in line with company SOP’s including preparations of Customs documentation. Planning and Management of all current Consignee Orders. Update and maintain the Integra databases to ensure customer files / supplier details are accurate. Monitoring of Unauthorised Delivery Reports. Preparation and Submission of ROM1 Reports. Operating IT systems to manage timings, costs, and stock levels. Logging of site defects (dealer & consignee) and follow up to ensure jobs completed. Liaising with both suppliers and haulage contractors. Load planning considering resource availability. Completion of daily stocks. Handle day-to-day distribution enquiries and issues that arise with the Group’s Licensee and Dealer customer base. Ensure any special ad hoc customer requests are provided for. Ensure all customer complaints are investigated, recorded, and resolved. Assist with the design and implementation of any new Standard Operating Procedures which may become necessary because of changes in the business or in the requirements of our quality standard ISO 9001 Provide cover for the Operations Supervisor, as required. This includes all aspects of the Stock Management and Reconciliation. Be aware of and adhere to all relevant Company policies and procedures relating to this Role, with reference to our distribution quality standard, ISO 9001 and our our Information Security Management System. Bring any breaches in Information Security Management Policy to the immediate attention of either the Operations Supervisor and/or HR Manager.
