Job Description
This is an exciting opportunity to join a very fast expanding company. Your role as a Senior Office Administrator will be reporting to the Area Director, and will be responsible for a wide range of administrational tasks. As the Senior Office Administrator of a professional service company, you must have strong time management and organisational skills alongside excellent relationship management. This is a varied role, and will be suited to someone who has a hands-on approach and enjoys working in a fast-paced evolving environment.
Key Responsibilities
1. Answering phone calls
2. Chasing clients for books and records
3. Scanning & filing
4. Involve with onboarding process using creditSafe and fee quoting software like Ignition, GoProposal, Pandadoc
5. Maintain clients information in line with Xeinadin guidelines
6. Finalising and sending out Accounts and Personal Tax Packs to clients for approval
7. Helping Hub Credit Controller with debtors queries
8. Finalising invoices / WIP Write out
9. Apply for HMRC & CH authentication code
10. Allocating of Disbursements to clients
11. Takings payments over the phone
12. Paying-in any cheques received from clients
13. Maintaining and reconciling office petty cash
14. Attending clients coming in the office
15. Booking appointments with clients
16. Organise safe return of clients books and records
17. Keep track of laptops and other IT equipment provided to team members
18. Order Stationeries
19. Dealing with posts
20. Help the Area Practice Manager Lead with projects
21. Track subscriptions/contracts
Key Requirements
1. Proven experience in administration and a fast-paced environment
2. Very high level of attention to detail and accuracy
3. Proficient with Microsoft Excel, Word, Outlook etc.
4. Excellent time management skills - handling multiple and varied deadlines concurrently
5. Must be able to meet administrative deadlines
